Job Summary
We are seeking a highly organized and resourceful Executive Assistant to provide comprehensive support to the executive in both professional and personal matters. This role requires someone who can manage a wide range of responsibilities—from coordinating corporate activities to handling personal errands and driving duties—while maintaining the utmost discretion and professionalism. The ideal candidate will be proactive, adaptable, and comfortable leveraging AI tools to improve productivity, streamline workflows, conduct research, and support decision-making
Responsibilities:
Corporate Assistance
- Manage and organize the executive's schedule, appointments, and meetings.
- Coordinate travel arrangements, including booking flights, accommodations, and transportation.
- Conduct research (leveraging AI tools where applicable) and compile information for business-related projects.
- Handle phone calls, emails, and other communications on behalf of the executive.
- Prepare reports, presentations, and meeting materials.
- Liaise with internal teams, clients, and external stakeholders.
- Use AI-powered tools to improve efficiency in scheduling, drafting, and project support.
Personal Errands & Household Support
- Handle personal correspondence and manage household-related appointments.
- Coordinate maintenance, repairs, and service providers for the executive’s residence.
- Assist with event planning and personal engagements.
Driving
- Drive the executive to and from appointments, meetings, and other locations as required.
- Ensure safe, reliable, and timely transportation.
Qualifications:
- Proven experience as an Executive Assistant, Personal Assistant, or similar role.
- Excellent organizational and time-management skills.
- Strong communication skills, both written and verbal.
- Discretion and ability to handle confidential and sensitive information.
- Flexibility and adaptability to manage diverse tasks.
- Genuine interest in the well-being of children.
- Valid driver’s license with a clean driving record.
- Proficiency in Microsoft Office Suite and productivity tools.
- Knowledge and practical use of AI tools (e.g., ChatGPT, Notion AI, AI scheduling assistants, AI research tools).
- Knowledge of local areas for efficient navigation.
- Ability to anticipate needs and proactively address them.
