Job Description – Executive Assistant

An opportunity to work with an Investment Advisory and Broker-Dealer firm, serving a group of individual private clients and institutions with tailored financial solutions. We are seeking a dynamic and resourceful Executive Assistant to provide high-level support to the Managing Director and senior team in a fast-paced, entrepreneurial environment.

Position Summary

The Executive Assistant will be a trusted partner to the Managing Director, ensuring that day-to-day operations run smoothly. The role requires strong organizational skills, excellent communication abilities, and the agility to adapt in a boutique firm setting where multitasking and initiative are highly valued.

Key Responsibilities

  • Serve as the first point of contact for internal and external stakeholders.
  • Prepare correspondence, briefing materials, reports, and presentations.
  • Assist in organizing client meetings, board meetings, and firm events, including agendas and minutes.
  • Support business development initiatives, including client follow-ups and research.
  • Maintain electronic and physical filing systems and ensure proper document control.
  • Assist with project management tasks and ensure follow-up on outstanding action items.
  • Handle confidential matters with discretion and integrity.
  • Assist with preparing client communications letters and following up with various investment related inquires.
  • Manage the Director’s calendar, schedule meetings, and coordinate travel logistics.

 Qualifications & Skills

  • Bachelor’s degree in Business Administration, Finance, Management, or related field preferred.
  • 2+ years of experience as an Executive Assistant, preferably in a financial services or boutique firm.
  • Strong organizational and time-management skills; ability to prioritize effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools.
  • Ability to work independently and exercise sound judgment.
  • High level of professionalism and interpersonal skills.
  • Proactive and self-motivated with an entrepreneurial mindset.
  • Flexible and adaptable in a boutique, fast-paced environment.
  • Strong problem-solving abilities and attention to detail.
  • Confidentiality and discretion in handling sensitive information.
  • Ability to build and maintain strong working relationships.
