The Executive Assistant- Group Risk supports the Chief Risk Officer (CRO) in his/her core functional area and any strategic projects by conducting various types of analytical research and making informed recommendations to the Executive.
JOB OVERVIEW:
The Executive Assistant- Group Risk supports the Chief Risk Officer (CRO) in his/her core functional area and any strategic projects by conducting various types of analytical research and making informed recommendations to the Executive. The position also requires the provision of secretarial and administrative duties to support the CRO and the Group Risk team. The Executive Assistant is required to function as back-up support for the Executive and to maintain continuity of operations during his or her absence.
JOB RESPONSIBILITIES:
1. Responsible for ensuring confidentiality in handling all matters related to the Executive’s office.
2. Responsible for liaising and communicating with scheduled and/or unscheduled callers to the Executive and directing them to other Executives or departments where appropriate; handling matters (including the drafting of some correspondence) not requiring the personal attention of the Executive in accordance with his directives.
3. Responsible for maintaining the Executive’s appointment calendar and making travel arrangements including airline, hotel, car rental etc. for the Executive.
4. Responsible for preparation of the Budget for the Department for review by the Executive; responsible for ensuring adherence to the approved budget and for providing explanations for variances on a monthly basis.
5. Responsible for taking minutes at the following meetings and as may be required on an a hoc basis:
▪ Monthly Group Risk Team meetings
▪ Quarterly Risk meetings (with Business Unit Risk managers/officers)
6. Responsible for maintaining a proper filing system for reports and confidential documents.
7. Responsible for preparing slides and designing presentations for the Executive.
8. Responsible for the preparation of reports for meetings as required.
9. Responsible for the preparation of credit card expense reports, travel expense reports and invoices.
10. Responsible for arranging and coordinating of meetings and events of the Executive with Executives, Directors and Business Associates including accommodation, meals and transport where necessary.
11. Responsible for the drafting of correspondence for the Executive.
12. Responsible for sourcing and collating information for the use of the Executive for reports and Special Projects including such projects relating to his involvement as a member of or officer of other organizations or charitable institutions.
13. To perform any other job-related duties as assigned by the Executive.
EDUCATION & EXPERIENCE:
▪ First Degree from a recognized tertiary educational institution
▪ Strong foundational knowledge of business administration or related field
▪ At least 3 years’ experience in a similar executive assistant or senior administrative support role
▪ Experience supporting senior executives (preferably at C-suite level) in a corporate environment
ADDITIONAL REQUIREMENT:
As a regulated entity with obligations under the Know Your Employee guidelines, a Certificate of Character is required.
