EXECUTIVE ASSISTANT

Position Summary:

The Executive Assistant provides high-level administrative support to senior executives by handling a wide range of confidential and time-sensitive tasks. This role requires a detail-oriented and proactive individual with exceptional communication skills, discretion, and the ability to manage multiple priorities efficiently in a fast-paced environment.

 

Key Responsibilities:

  • Executive Support:
    • Manage and maintain executives’ calendars, including scheduling meetings, appointments, travel, and events.
    • Prepare and coordinate executive communications, including emails, memos, reports, presentations, and meeting agendas.
    • Handle confidential information with the utmost discretion and professionalism.
    • Act as a liaison between executives and internal/external stakeholders.
  • Meeting Coordination:
    • Organize executive meetings, board meetings, and strategic planning sessions, including venue arrangements, catering, and documentation.
    • Record and distribute minutes of meetings and follow up on action items.
  • Travel & Logistics:
    • Coordinate complex domestic and international travel arrangements, itineraries, and accommodations.
    • Prepare travel expense reports and ensure timely reimbursement.
  • Administrative Support:
    • Manage office documentation, filing systems, and databases for easy access to executive-level materials.
    • Prepare documents and reports required for executive decision-making.
  • Project Assistance:
    • Support executive-led initiatives, including research, data gathering, and preparation of briefs.
    • Track project timelines, deliverables, and updates as needed.
  • Relationship Management:
    • Interface with high-level clients, board members, and partners professionally and tactfully.
    • Maintain positive working relationships with department heads and key stakeholders across the organization.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related field (preferred).
  • Minimum of 5 years’ experience in an executive assistant or senior administrative support role.
  • Proven experience supporting C-suite or senior executives.

Key Competencies:

  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and modern communication tools.
  • Discretion, confidentiality, and professional judgment.
  • Ability to work independently and under pressure.
