ADMINISTRATIVE ASSISTANT – SERVICE DEPARTMENT

Position Summary:

The Administrative Assistant – Service Department provides vital administrative and logistical support to ensure the smooth and efficient operation of the service team. This includes managing service requests, coordinating schedules, handling documentation, and serving as a communication hub between technicians, clients, and internal departments.

 

Key Responsibilities:

    • Maintain accurate records of service activities, customer interactions, and technician schedules.
    • Prepare and process service reports, invoices, quotations, and correspondence.
    • Update service logs, databases, and tracking systems.
    • Schedule and confirm service appointments with clients.
    • Coordinate daily travel plans and assignments for field technicians.
    • Make travel arrangements and accommodations for service team members, as needed.
    • Track technician assignments and ensure travel plans align with service schedules and job priorities.
    • Act as the first point of contact for service-related customer inquiries.
    • Log and follow up on service requests and complaints.
    • Provide timely updates to customers regarding service status or technician arrival times.
    • Assist with tracking parts and supplies used during service calls.
    • Prepare purchase requisitions for service department needs.
    • Assist the Service Manager with administrative tasks and reporting.
    • Help onboard new technicians with necessary forms, tools, and schedule orientation.

Qualifications:

  • 3+ years of administrative experience, preferably in a service, technical, or field-based department.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and database management.
  • Excellent communication and organizational skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Strong attention to detail and a customer-service mindset

Preferred Skills:

  • Experience working in a medical, engineering, or technical service setting.
  • Familiarity with work order or service management systems.
  • Ability to support remote field technicians and clients simultaneously
