Sagicor Group Jamaica Limited is seeking a suitable candidate to join our Group Corporate Secretarial and Corporate Trust team in the capacity of:
Corporate Services Officer
Provide administrative support and assistance to the Vice President, Corporate Secretary in the discharge of the responsibilities of the department.
Perform corporate secretarial functions to ensure the efficient conduct of board and committee meetings of the Sagicor Group and assigned subsidiaries.
Location: Kingston
As a Corporate Services Officer, you will:
- Provide administrative and compliance support and assistance to the Vice President, Corporate Secretary in the management of the department.
- Be the department’s liaison for data analytics-related projects.
- Coordinate the attendance of staff members to seminars internal and external to the organization, which includes registration for seminars and making accommodation/travel arrangements when necessary.
- Undertake the day-to-day administrative functions of the department (i.e. record keeping of attendance register and submit monthly leave summary reports to the Human Resource Department).
- Assist in the organisation and preparation of board and committee meetings.
- Draft agendas, resolutions, matters arising, running order and minutes of meetings, uploading of board papers and maintain records of minutes of meetings and reports submitted at these meetings.
- Maintain adequate supply of stationery for the department and assist in maintaining the vault and file room.
- Prepare correspondence, including memos and reports.
- Maintain follow up system for documents/ correspondence requested from other departments.
- Request payments for invoices submitted for jobs done on behalf of the department and director payments, and arrange for dispatch cheques/ wire transfer, including regarding department credit card payments and business cell phone bills.
- Arrange for the collation of documents requested by our external auditors.
- Maintain inventory of all contracts entered into by the company.
- Liaise with Heads of Department and submit list of all policies to Corporate Governance Committee, including the date of last review/approval.
- Prepare schedule of meetings for the year and circulate to team members, directors and/or management, circulate schedule of meetings quarterly as well as send update schedule once an update is done.
- Perform other job-related duties assigned from time to time.
What do you need?
- Bachelor's Degree in Business Administration in ICSA or equivalent qualifications (including secretarial studies) from a recognized tertiary institution.
- CPS designation desirable.
- Paralegal Certificate would be an asset.
- Three (3) years related work experience at a senior level in a corporate secretarial capacity.
- Sound knowledge of computer software packages including spreadsheet and word processing applications.
- Knowledge of corporate secretarial administration and procedure of meetings.
- Excellent interpersonal and problem-solving skills.
- Detailed oriented, analytical and accurate.
- Initiative, tact and flexibility.
- Good Communication skills, written and oral.
- High level of confidentiality.
- Unquestionable integrity.
- Ability to communicate effectively both orally and in writing.
- Good interpersonal skills.
- Good time management, organising and problem-solving skills.
- Detailed, systematic proactive.
- Knowledge of basic accounting principles would be an asset.
