Job Summary:  

The Business Applications Administrator is responsible for reliable operation, ongoing support, and continuous improvement of the hospital’s business software systems, including the Enterprise Resource Planning (ERP), Human Resources Information System (HRIS), financial applications, payroll, procurement, and related administrative platforms. This role ensures that business applications are accessible, stable, secure, and tailored to meet the needs of administrative and support departments. Key duties include managing user access, maintaining data accuracy, performing database administration, and providing user support and training for system updates or new features.

In addition to daily system administration, the Business Applications Administrator leads projects related to business software, such as upgrades, implementations, and integrations. The administrator works closely with internal stakeholders to gather requirements, create project plans, and document project milestones. This role serves as the primary contact for business software vendors, managing vendor relationships, contracts, and service agreements. The administrator applies technical skills in programming and database management to develop custom reports, automate processes, and maintain system reliability, while ensuring that all business applications support operational, compliance, and security requirements across the organization.

Key Responsibilities

  1. Business Application Administration and Support
  • Administer, support, and maintain assigned business applications, including ERP, HRIS, finance, payroll, procurement, and related administrative systems.
  • Ensure business applications are available, stable, secure, and configured to meet operational requirements.
  • Provide advanced application support and serve as an escalation point for complex incidents and system issues.
  • Monitor application performance, logs, and usage trends; troubleshoot issues and recommend improvements to reliability and efficiency.
  1. Database Administration and Data Management
  • Manage application databases, including backup, recovery, user access, security settings, and routine maintenance.
  • Support database optimization, data integrity, and system performance for assigned business applications.
  • Assist with data migration activities, data validation, and the development or modification of database structures as required.
  • Develop and maintain queries, reports, data extracts, and scripts to support operational and reporting needs.
  1. System Upgrades, Changes, and Testing
  • Apply, document, and track system updates, patches, fixes, and version upgrades in accordance with organizational procedures.
  • Support application implementations, enhancements, and configuration changes, including planning, testing, validation, and follow-up.
  • Participate in change control processes to reduce risk and maintain system stability.
  • Support user acceptance testing and post-implementation review for application changes and new functionality.
  1. Integrations and Workflow Support
  • Support and monitor integrations between business applications and other hospital systems to ensure accurate, timely, and reliable data exchange.
  • Work with clinical, financial, human resources, and administrative teams to identify system needs and improve workflows.
  • Assist in resolving interface, data flow, and application configuration issues that affect hospital operations.
  • Support business system enhancements that affect scheduling, billing, resource allocation, reporting, and other operational processes.
  1. Security, Compliance, and Risk Management
  • Maintain appropriate user access, permissions, and security controls for assigned business applications.
  • Support compliance with data privacy, confidentiality, retention, and audit requirements relevant to hospital operations.
  • Participate in audits, access reviews, control reviews, and remediation activities related to business applications and data.
  • Maintain accurate records of user permissions, configuration changes, and support activities for audit and compliance purposes.
  1. Vendor and Stakeholder Coordination
  • Act as the primary technical contact for assigned business application vendors and support issue resolution, upgrades, and service requests.
  • Coordinate with internal stakeholders to gather requirements, assess impacts, and communicate project or support updates.
  • Assist with vendor evaluation, software renewals, licensing, and service agreement administration for assigned systems.
  • Work closely with IT teams and operational departments to ensure business applications continue to meet organizational needs.
  1. Training, Documentation, and User Enablement
  • Train super-users and end-users on system changes, new features, and updated business processes.
  • Develop, maintain, and distribute user guides, support procedures, and technical documentation.
  • Maintain documentation for configurations, workflows, interfaces, support procedures, and known issues.
  • Promote effective system use through user support, knowledge sharing, and process standardization.
  1. Business Continuity and Operational Readiness
  • Support business continuity and downtime readiness for assigned business applications.
  • Participate in planned and unplanned outage response activities to restore critical business system functions.
  • Support emergency change activity, including urgent patches or fixes, in accordance with downtime and change management procedures.
  • Help ensure essential data and application services remain available or recoverable during service disruptions.

Qualifications

  • Bachelor’s Degree in Information Systems, Health Informatics, Business IT, Computer Science, or a related field.
  • 3+ years’ experience administering clinical or enterprise software in a hospital or healthcare setting.
  • Direct experience in database administration (such as backup, recovery, user management, and database. optimization), preferably with healthcare applications.
  • Proficiency in SQL and at least one programming or scripting language (such as Python).
  • Experience with user training, software support, and vendor management.
  • Understanding of clinical workflows and data governance principles.
  • Relevant certifications (e.g., Microsoft Certified: Azure Administrator, CompTIA Network+, Epic or Cerner certification, PMP) are an asset.
  • Knowledge of HIPAA or relevant data privacy regulations.
  • Familiarity with Windows and/or Linux server environments.

  • Adaptability: Responsive to evolving software and data requirements.
  • Provide tier-2/3 application support for clinical/business users.
  • Assist with planning and implementation of new applications and upgrades as part of project teams.
  • Participate in change management processes to minimize risk and ensure user adoption.

Working Conditions

  • Work Location: Office-based, with regular visits to hospital departments for training and support.
  • Schedule: Full-time, with flexibility during major system go-lives, upgrades, or incidents.
  • Hours: Standard office hours, with flexibility to accommodate operational needs and occasional evening or weekend work during peak periods or special projects.
  • Environment: Dynamic healthcare setting, high interaction with end-users and vendors.
  • Equipment: Computers, application consoles, database management tools, software diagnostics tools.
  • Physical Requirements: Prolonged periods working on a computer; may involve walking between departments for on-site support.

Salary will be paid in accordance with the experience and requirements for the post. with the terms stipulated by The Board of St. Jude Hospital.
