Provides administrative and technical support to the Engineering / Operations team, ensuring the efficient coordination of documentation, reporting and workflow management

Job Summary

Reporting to the Technical Administrator, the successful candidate will be responsible for providing administrative and technical support to the Engineering / Operations team, ensuring the efficient coordination of documentation, reporting and workflow management.

 

Key deliverables will include but not limited to:

  • Maintain, update and organize technical and operational documents, ensuring compliance with company policies and industry regulations.
  • Assist with procurement of technical equipment, spare parts and services by preparing purchase requisitions and maintaining vendor records
  • Prepare payment requests upon completion of works
  • Process contractor’s invoices and reconcile with job sheets
  • Process receivals in MS Dynamics
  • Process Utility Bills for Rockfort Facility
  • Maintain accurate filing records for pump calibration, tank calibrations, compressor certification
  • Prepare reports on administrative maintenance activities (invoicing, accruals, OPEX, WIP Reconciliation, etc.)
  • Liaising with customs brokers to effect timely clearance of goods
  • Monitoring and keep track of delivery dates for imported goods
  • Assist with the preparation of statistical analysis of maintenance data and KPIs
  • Ensure costs for CAPEX projects are processed and captured in the Smartsheet CMT
  • Act as liaison between operations/technical teams and administrative departments, facilitating smooth communication.
  • Identify opportunities to enhance administrative processes and operational efficiency within the Operations department
  • Preparing payment request for plant related activities

 

Skills and Attributes:

  • Working knowledge of JDE Accounting System
  • Knowledge of Company procedures, authorizations and controls
  • Knowledge of the Company’s products and basic technical issues
  • Problem solving skills
  • Knowledge of safety requirements in an industrial environment
  • Ability to use PC for word processing and creating spreadsheets at an intermediary level of proficiency
  • Good time management skills
  • Flexible
  • Detail oriented
  • Work on own initiative
  • Ability to communicate effectively, verbally and in writing, including effective customer service skills.
  • Ability to manage workload effectively, to plan, organize, and prioritize work and meet deadlines

Qualification, Experience

l Minimum Diploma in Business Administration.

l Minimum one year experience in a support capacity
