Job Summary

The Assistant Office Manager supports the Office Manager with day-to-day administrative operations, ensuring that office and operation processes are followed efficiently. This role requires someone with experience (supervising others) that is proactive, organized, and capable of handling multiple responsibilities to help ensure smooth operations across departments.

 

Key Responsibilities

  • Support daily administrative operations and maintain efficient office procedures.
  • Assist with process improvement initiatives and ensure compliance with established systems.
  • Coordinate shipping logistics.
  • Help oversee site resources including staff, stock, assets, equipment, and supplies.
  • Manage the inventory management system.
  • Maintain cash handling operations, including balancing drawers and addressing customer cash queries.
  • Prepare and send daily reports accurately and on time.
  • Operate standard office equipment (scanners, photocopiers, phone systems, etc.).
  • Answer and direct incoming calls, take messages, and handle customer queries.
  • Manage filing systems, inventory records, mail distribution, and internal databases.
  • Assist with customer service and communication to resolve issues professionally.
  • Support emergency response, crisis management, and accident protocols as required.
  • Perform any additional duties assigned by the Office Manager or senior leadership.

  • Ability to identify problems and be proactive in seeking a resolution.
  • Ability to work calmly and effectively under pressure.
  • Accuracy in handling cash and financial records.
  • Proficiency with Microsoft Office and data entry systems.
  • Ability to communicate clearly and professionally with staff, customers, and external partners.
  • Reliable, detail-oriented, and capable of working independently.
