Position Summary
Provides full administrative support to the Account Development Manager (ADM) and to the Management Team, from time to time and manage a team of Administrative Staff. Must be self-motivated and enjoy working within a dynamic, fast-paced environment. Assignments are frequently routine in nature, but at times the individual may be assigned non-routine tasks requiring interpretation, judgment, and discretionary action. Reports to the General Manager
Key Roles & Responsibilities
- Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the company.
- Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
- Manage complex calendars and schedules of the General Manager; resolving any scheduling issues.
- Coordinate all travel, accommodation and entertainment arrangements, domestically and internationally, for the General Manager, managers and other employees; Prepare and submit expense reports for approval.
- Prepare/maintain Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization; Attend and prepares minutes of Manager’s Meetings.
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings.
- Draft and prepare correspondence for internal announcements, meetings, organizations and activities in which the executive is involved.
- Open, read, analyze and sort incoming documents to determine their relevance, significance, and distribute, accordingly; Prepare appropriate responses to correspondence.
- Be responsive to emails/texts/phone calls, with contact outside normal business hours.
- Monitors the inventory level of food & beverage, stationery and medical supplies.
- Monitors leasing arrangements and ensure proper functioning of facilities.
- In conjunction with P&C Department, manages the recruitment, hiring, onboarding, goal setting, appraisals and development of direct reports.
- Other people management responsibilities include defining/updating job descriptions, interviewing, planning, assigning, and directing work, rewarding and disciplining employees, addressing complaints and resolving problems.
Business Expertise
This role requires a strong understanding of how executive support, people management, operations, and administrative functions work together to support business objectives. The incumbent must understand organizational priorities, workflows, and decision-making processes to effectively support the General Manager and leadership team. A general awareness of the industry and business environment is required to exercise sound judgment, manage priorities, and ensure actions align with organizational goals.
Problem Solving
The role regularly addresses complex, time-sensitive issues such as scheduling conflicts, urgent travel changes, confidential people matters, and operational or facilities-related challenges. Problems often involve competing priorities and require independent judgment, discretion, and critical thinking. A fast-paced environment, tight deadlines, and after-hours responsiveness add to the complexity, requiring adaptability and effective problem-solving skills.
REQUERIMENTS
Academic Background:
- Bachelor's degree in business administration or general management
- Certified Professional Secretary Designation (preferred)
Experience:
- 3–5 years supporting senior executives
- 3–5 years managing or supervising staff
