The Administrative Manager, Mona Institute of Medical Sciences will manage the daily operations of the Unit and play a key role in the strategic development of the Facility to ensure that the administrative systems support the delivery of high-quality healthcare services

Key Responsibilities

  • Oversee the administrative and operational functions of the medical suite to ensure a professional environment and the delivery of high-quality customer service are maintained
  •  Plan, develop, and coordinate office policies, and protocols for the Unit
  • Supervise and assign duties to all staff to meet operational requirements.
  • Participate in interviews, selection, orientation, and performance evaluation of staff.
  • Coordinate patient appointments to optimize client satisfaction and facilitate efficiency
  • Coordinate scheduling, billing and patient communications
  • Maintain patient records in compliance with confidentiality and regulatory standards
  • Liaise with users of the facility on all matters and mediate/resolve issues to eliminate potential risks to the Unit’s operations.
  • Coordinate and manage the procurement and inventory of medical and office supplies and ensure compliance with related guidelines.
  • Liaise with healthcare providers, external partners and regulatory bodies as required
  • Support financial management processes, including budgeting and expense monitoring
  • Prepare and submit reports to Senior Management/the Bursary as required
  • Coordinate the record management systems for documentation highly confidential, to ensure the safety and accuracy of all data.
  • Coordinate and implement mechanisms to inform/educate stakeholders on all matters relating to the operation of the Unit
  • Ensure compliance with all health and safety regulations
  • Monitor the general maintenance and safety requirements of the building, as well as initiate and follow up on necessary maintenance actions.
  • Ensure the safe custody of the property and its accessories; departmental codes, equipment and appliances, confidential records, and departmental imprest.
  • Any other job-related duties assigned.

Required Qualifications & Experience:

  • Bachelor’s degree in Business Administration, Healthcare Management, or related field
  • At least 3-5 years’ experience in office or healthcare administration, with at least 2 years in a supervisory capacity
  • Proficient in the use of office management systems and electronic health record (EHR) software
  • Strong organizational, communication skills
  • Knowledge of the Jamaican healthcare regulations and administrative practices is an asset
