We are seeking a detail-oriented and proactive Administration Manager to join our G4S team.
The successful candidate will be responsible for overseeing all administrative functions, managing a small team, and ensuring compliance with internal procedures and policies. This role supports operational efficiency by coordinating recruitment, procurement, record-keeping, payroll coordination, and general office administration. The incumbent will also manage HR-related matters and assist with insurance claim processes for personnel and vehicles.
Supervise and coordinate the day-to-day administrative operations for the Kingston location
Maintain accurate and up-to-date personnel records for security staff
Coordinate recruitment-related activities, including preparation of job letters
Handle vacation management and other HR matters for contracted staff
Administer petty cash and manage purchase orders and requisitions
Oversee procurement of uniforms and office supplies
Liaise with payroll to ensure accurate and timely submissions of deductions
Prepare and submit reports as required
Coordinate union meetings and internal engagement activities
Assist with claims processing related to personnel and vehicle insurance
Organize internal meetings and logistics
Provide leadership and direction to administrative support staff
Perform other related duties as required
Associate Degree in Business Management or Human Resource Management
Minimum 5–6 years' experience in administrative or office management
Experience supervising junior staff or admin teams
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc.)
Strong written and verbal communication skills
Knowledge of HR practices and document management
Familiarity with claims administration and procurement processes is an asset
