Administrative Assistant to the General Manager

Position Summary
The Administrative Assistant provides high-level administrative support to the General Manager and the Retail Operations team. The role ensures efficient communication, coordination of administrative processes, and timely reporting of operational data. The position also supports office administration, stationery procurement and distribution, and supervision of front-office support staff to maintain smooth day-to-day operations.
Key Responsibilities
Administrative Coordination
Provide administrative support to the General Manager and Retail Operations unit
Coordinate meetings for management and support services teams
Prepare reports and documentation as requested by the General Manager
Monitor and report on the progress of projects and initiatives under the General Manager’s portfolio
Reporting & Data Management
Prepare and distribute daily and weekly Key Performance Indicator (KPI) reports to stores and managers
Compile monthly reports related to Balanced Scorecard objectives and initiatives
Assist with data extraction and analysis for operational reporting
Office & Operational Support
Coordinate the procurement and distribution of stationery supplies for stores and head office
Monitor office supply expenses and ensure they remain within budget
Maintain records related to contracts, leases, store incidents, and legal claims
Assist in preparing purchase orders for head office
Staff Supervision & Coordination
Supervise the Receptionist, Office Attendant, and Bearer
Ensure front office duties are executed according to company standards
Logistics & Administration
Arrange business travel when required
Provide support to senior management teams and store operations as needed
Perform additional administrative duties assigned by the General Manager or senior management
Minimum Qualifications & Experience
Bachelor’s Degree in Business Administration or a related field
Minimum of three (3) years’ experience in a senior administrative role
Proficiency in Microsoft Word, Excel, and Outlook
