The Administrative Assistant supports the Mall & Properties Department by handling communications, maintaining records, coordinating schedules, and assisting with daily operations to ensure smooth property and mall management functions.

Key Responsibilities

  • All digital and physical filing
  • Archiving
  • Delivering of correspondence to Tenants
  • Preparing of purchase orders and other approval documents for procurement of goods or services
  • Preparing and issuing Tenant notices
  • Following up with internal and external stakeholders
  • Liaising with internal departments to meet deadlines, follow up on payments and rectify issues
  • Taking departmental queries and forwarding to relevant personnel
  • Facility checks
  • Assisting in the preparation of weekly and monthly reports
  • Liaising with Security team to ensure compliance by Tenants/ Service providers
  • Assisting in informing Tenants and staff of any service disruptions
  • Drafting responses to unanswered emails from Tenants
  • Assisting in ensuring the general maintenance of the property
  • Preparing packages to be delivered or collected by courier
  • Facilitating of site visits with service providers
  • Perform other duties as required

Qualifications & Skills

  • Minimum of a High School Diploma; Associate’s or Bachelor’s degree in Business Administration, Management, or related field preferred.
  • 1-3 years’ experience as an administrative assistant or in a similar role
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong communication and customer service skills
  • Excellent organizational and documentation skills
  • Attention to detail & problem-solving skills
