Job Summary:

The Administrative Assistant provides essential administrative and clerical support to ensure the smooth and efficient operation of business. This role involves handling documentation, coordinating with customers and suppliers, managing inventory records, and assisting the sales and technical teams with day-to-day office operations. The ideal candidate is organized, detail-oriented, and committed to supporting the company’s mission.

 

Key Responsibilities:

  • Perform general administrative duties including filing, data entry, photocopying, scanning, and document preparation.
  • Manage and update customer records, quotations, invoices, and warranty documentation.
  • Assist in processing sales orders, purchase orders, and delivery schedules.
  • Support inventory tracking and coordinate with the warehouse or technical team to ensure stock accuracy.
  • Handle incoming calls, emails, and customer inquiries in a professional and courteous manner.
  • Liaise with suppliers, clients, and internal departments to ensure smooth communication and workflow.
  • Maintain an organized record of solar equipment, installation reports, and service schedules.
  • Assist in preparing reports, proposals, and presentations for management.
  • Support company initiatives and events related to renewable energy education or promotions.

 

Qualifications and Skills:

 

  • Associate degree or higher in Business Administration or related field preferred.
  • 1–2 years of experience in administrative or clerical work (experience in retail, solar, or BPO industries is an asset).
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic accounting or CRM software.
  • Strong organizational, multitasking, and time management skills.
  • Excellent written and verbal communication skills.
  • Attention to detail and ability to work with minimal supervision.
  • Customer-service oriented with a positive and proactive attitude.
