Administrative Assistant I
The Central Bank of Trinidad and Tobago is seeking to appoint a suitably qualified and experienced individual to fill the position of Administrative Assistant I. The candidate must be of the highest integrity, reliable, mature and diplomatic with strong interpersonal and communication skills.
JOB SUMMARY:
To co-ordinate the day-to-day operations for the assigned unit/department and perform the full range of administrative/secretarial/clerical support duties; provide services by implementing and monitoring administrative systems, procedures, policies and projects.
PRINCIPAL ACCOUNTABILITIES:
1. Answers and screens telephone calls to the Manager and provides assistance where possible; ensures that messages are communicated to the Manager.
2. Manages and maintains Manager’s calendar, anticipates conflicts and alerts accordingly; plans, coordinates and schedules and attends meetings, training events and conferences.
3. Receives, opens, sorts and distributes correspondence, and takes appropriate notes of proceedings; drafts routine correspondence; deals discretely with sensitive and confidential information concerning operations of the department and the Bank.
4. Maintains and updates department files and records in an electronic and/or physical form ensuring all files and records are kept up to date.
5. Creates and maintains databases, spreadsheets and reports such as attendance register(s) etc. for distribution to relevant Supervisor/Manager on departmental functions as required.
6. Orders and manages stationery and office supplies for the department; updates and maintains office inventory, keeps records of procurement, invoicing and deliveries and submits as required ensures proper operation of equipment; and arranges for, and follows up on, repairs as necessary.
7. Performs other related duties as required.
LEVEL OF EDUCATION, SKILLS, AND TRAINING REQUIRED FOR THE JOB:
• 5 GCE O’Levels (Grades A-C) or CXC General – Grades I, II and III (1998) (including English Language and Mathematics) or equivalent
• Certificate in Administrative Professional Office Management or equivalent
• Sound knowledge of administrative and clerical procedures
• Sound knowledge in Microsoft Office Suite
• Sound time management skills

• At least 1 year relevant experience in a similar role.
