The Payables Accounts Officer is responsible for the accurate and timely recording of accounts payable transactions, ensuring invoices, payments, and supporting documentation are processed in line with company procedures, internal controls, and strict daily cut-off times.

Job Summary:

The Payables Accounts Officer is responsible for the accurate and timely recording of accounts payable transactions, ensuring invoices, payments, and supporting documentation are processed in line with company procedures, internal controls, and strict daily cut-off times. The role supports the payables function through high-volume data entry, document management, and operational execution.

Job Responsibilities:

  • Process all supplier invoices, journals, payroll, utility, and other AP transactions accurately within 24 hours of receipt.
  • Ensure daily incoming logs are fully cleared by 7:15am and execute customs payments by 10:00am and 2:00pm daily.
  • Prepare, process, and submit AP payment proposals every Monday by 8:00am, ensuring supplier reconciliations are completed.
  • Process cheques within 24 hours of approval, ensure a three-day turnaround for cheque issuance, and compile all cheques with complete supporting documentation for review.
  • Perform weekly and month-end reconciliations of all AP, liability, subledger, and clearing accounts with >99% accuracy and appropriate sign-off by ME+3.
  • Ensure supplier reconciliations are completed monthly with a completion rate above 90% and resolve all reconciliation issues within one month, maintaining zero rolling issues.
  • Ensure all salary & statutory payments are processed within 24 hours of receipt.
  • Complete all group and intercompany reconciliations by ME+2 and issue confirmations to relevant entities.
  • Maintain posting dimension accuracy above 99% for all transactions and ensure full compliance with head office and internal reporting frameworks.
  • Deliver weekly, monthly, and presentation reporting with FTQ and OTIF scores consistently above 90%.
  • Ensure 100% compliance with company procedures, internal controls, and Blue Book policies.
  • Participate fully in stock counts, audits, and CFO division activities as required.
  • Perform any other related job duties as required by the job function that may be assigned by the CFO.

Qualification and Experience Requirements:

  • ACCA Level II
  • A professional accounting qualification from a recognized institution.
  • Practical experience in Microsoft Office Suite and D365 will be a definite asset.
  • At least four (4) years accounting experience in a manufacturing environment.
  • Computer literate with working knowledge of Microsoft Excel and Word.
  • Working experience with a Financial Accounting package would be an asset.
  • And / Or two (2) years working experience in the same or similar position.
