Job Title: Accounts Clerk

Department: Finance
Reports To: Accountant / Senior Accountant

Job Summary

The Accounts Clerk provides vital support to the finance team by handling a variety of clerical and accounting tasks. This includes processing invoices, maintaining accurate financial records, assisting with compliance documentation, and supporting internal and external reporting requirements.

 

Key Responsibilities

Billing & Receivables

  • Prepare trade and miscellaneous invoices
  • Raise credit notes and follow up on outstanding receivables

Accounts Payables & Month-End Close

  • Enter current month invoices by the 25th
  • Follow up with requisitioners/buyers for PO amendments or creation
  • Match receivables and payables (e.g., downpayment requests and invoices)
  • Maintain a log of unentered invoices
  • Process vendor and intercompany payments across bank accounts
  • Manage vendor queries and issue remittance advices
  • Perform weekly bank reconciliations
  • Request POs/PRs and coordinate invoice closeouts
  • Prepare weekly credit card reports and analysis

Inventory & Fixed Assets

  • Conduct inventory counts and reconciliations
  • Prepare abandonment and IFRS 16 journal entries
  • Assist with fixed asset counts and documentation

Compliance & Audit

  • Prepare compliance reports for regulatory and internal requirements
  • Draft bank confirmations and letters for routine and audit purposes
  • Provide administrative support for internal control policies
  • Assist with audit schedules and documentation for internal and external audits

Systems & Administration

  • Administer petty cash (local and foreign currency)
  • Create new suppliers and enter transactions in SAP
  • Support data collation and analysis for audit processes

Qualifications

  • Finance-related qualification (e.g., ACCA Level 1)
  • Proficiency in SAP, EAM, and Microsoft Excel
  • Strong attention to detail and organizational skills
  • Ability to manage multiple tasks and meet deadlines
  • Good communication and interpersonal skills
  • Solid understanding of accounting principles and processes
