Accounting Clerk / Administrative Assistant

A well-established pharmacy in Kingston is seeking a detail-oriented and reliable Accounting Clerk / Administrative Assistant to support its accounting and administrative operations.

This role is ideal for an organized professional who is comfortable working with financial records, providing administrative support, and delivering excellent customer service in a fast-paced environment.

Key Responsibilities

  • Process accounts payable and receivable, including invoices, payments, and receipts
  • Accurately enter invoices, receipts, and financial transactions into the accounting system
  • Track insurance claims, input data, and liaise with insurance companies to resolve queries
  • Maintain petty cash records and track employee reimbursements and company expenses
  • Manage office administration, including digital and physical filing systems, office supplies, and mail circulation
  • Coordinate meetings and appointments and issue reminders as required
  • Organize and maintain company documents, invoices, and records
  • Provide administrative support to management and senior staff
  • Handle telephone calls, emails, and in-person inquiries in a professional manner
  • Perform any other duties assigned from time to time

Qualifications, Experience & Competencies

  • Associate Degree in Accounting, Business Administration, Office Administration, or a related field
  • Additional training in bookkeeping or accounting will be an asset
  • At least 1–2 years’ experience in an accounting, clerical, or administrative role
  • Experience with invoices, expense tracking, and basic accounting processes
  • Exposure to insurance administration and claims processing is an advantage
  • Proficiency in Microsoft Office (Word, Excel, Outlook); familiarity with Peachtree accounting software is an asset
  • Strong written and verbal communication skills
  • High level of accuracy, organization, and attention to detail
  • Willingness to learn and work collaboratively within a team
