Accounting Assistant

JOB DESCRIPTION
POSITION: Accounting Assistant
SALARY: $7,875.00
LOCATION: Chaguaramas
REPORTS TO: Assistant Accountant / Accountant

SCOPE
The Accounting Assistant ensures that the accounting and administrative functions in the Accounting Department are carried out efficiently and effectively. This will result in the
overall performance of the Company thus providing quality customer service.

RESPONSIBILITIES
• General assistance in Accounts department.
• Preparation and posting of Journals in accordance with relevant Accounting and Financial Reporting Standards.
• Reconciliation of Suppliers’ Statements.
• Reconciliation of Inter-company Accounts.
• Bank Reconciliation.
• Revenue/Cost matching for sub-contractors services.
• Preparation of Pro-forma invoices, quotes and reconciliation P.O. for large customers.
• Prepare Sales Invoices for customers.
• Prepare Cheques.
• Assist in preparation for audit.
• Data entry, copying and distribution of invoices to Customers.
• Assistance in the distribution of weekly salaries/pay slips.
• Assist in the collation of documents and verifying same for processing of invoices.
To liaise with General Manager regarding any difference with the information provided.
• Assist in the processing of all approved invoices for mailing to Customers.
• File all completed invoices in the relevant files.
• Assist Port Administration Assistant with photocopying, filing, faxing and other related activities that may be assigned from time to time by the Assistant Accountant or Accountant.
• Perform other related duties as requested by Assistant Accountant or Accountant.

HSE RESPONSIBILITIES
• Knowing, understanding and complying with legal requirements for HSE.
• Understanding and following the Company’s HSE policy, procedures and work practices.
• Reporting to the supervisor any unsafe condition, procedure, defective equipment and or any situation, which can endanger oneself or others.
• Being familiar with the emergency plan.
• Always using the required personal protection equipment for the relevant task as outlined by the Company.
• Conducting oneself in a manner to protect oneself and others.
• Participating in training and using the knowledge and skills for HSE.

KNOWLEDGE & SKILLS
• Knowledge of the principles, practices and procedures in Accounting activities
• Knowledge of English Language
• Skill in Microsoft Office – Microsoft Word, Microsoft Excel
• Ability to communicate effectively
• Able to work under pressure

QUALIFICATIONS & EXPERIENCE
• Minimum five (5) O’level Passes including English Language and Mathematics
• Previous experience in an Accounting & Administrative Position
• Studying towards an accounting qualification will be desirable

GENERAL
1. Hours of Work
The normal hours of work are from 8.00a.m. to 4.30p.m. Mondays through Fridays with one (1) hour's break for lunch normally between 12.00 noon and 1.00p.m. Because of
the nature of employment, the employee will be required to work outside of these normal working hours as and when the occasion arises.

2. Allocation of Time
It is the employee's personal responsibility, within the framework of the tasks he/she has been set, to ensure that his/her time is distributed between tasks in the most advantageous
way to the overall benefit of the Company.

3. Customer Relations
The employee is to communicate effectively with customers at all levels, so as to ensure that the Company's image is always protected and maintained at the highest possible
level.
