The accounts / administrative assistant is responsible for providing management information mainly in the area of sales & Receivables and Project accounts.

Temporary - November 2025 to April 2026

KEY DUTIES AND RESPONSIBILITIES

  1. Review and follow-up on all unposted sales invoices with the relevant sales and projects staff and ensure timely posting.
  2. Review projects invoicing and completion reports.
  3. Review invoice register coding for accuracy.
  4. Analyse and reconcile customer statements with client records and investigate client queries on balances.
  5. Receive and screen information from sales staff, prepare credit memos as required and generate monthly credit memo summary report.
  6. Send payment link to customers to make payments with debit and credit cards on the online payment platform (Fygaro).
  7. Generate daily receipts journal for all branches to ensure that all receipts have been posted.
  8. Review monthly work in progress and completed job reports from Projects department.
  9. Follow up on timely receipt of branch stock counts and reconcile with accounting records.
  10. Check for inter-company sales and generate entries to correctly record these transactions.
  11. Post quarterly allocation journals for department and branch accounts.
  12. Monitor, distribute and restock office supplies and stationery.
  13. Schedule and track the purchase, repairs and maintenance of office furniture and equipment such as Air Condition Units, Water Coolers, and Printers etc.
  14. Book reservations, payments for travel tickets and accommodations for staff/sub-contractors for foreign travel.
  15. To carry out all duties of the cashier/receptionist during the lunch break, vacation and other absences of the employee in that substantive position and on rotation on Saturdays on a roster basis.
  16. All other reasonable duties as assigned by the Accountant from time to time.

TECHNICAL COMPETENCIES

  • Computers and Electronics — Good Knowledge of computer hardware and software, including accounting applications and Microsoft excel, inclusive of the use of basic formulae and functions.
  • Numerical competence — The employee must have a strong capability of working with numbers and calculations.
  • Clerical — Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.

BEHAVIORAL COMPETENCIES

  • Flexible – The employee is required to fill different roles as a necessary function of his/her employment and may be required to work in one capacity at one time and a completely different capacity soon after.  This requires a personality that is comfortable with change.
  • Effective communication skills — The cashier and receptionist duties involve customer service which requires effective and highly professional written and oral communication skills.

QUALIFICATIONS AND EXPERIENCE

  • Minimum of three (3) CXC Passes including Maths, English and Principles of Accounts.
  • Should have completed or is in pursuant of ACCA Level 1 (applied knowledge) of FIA
  • Certificate or 2 years hands on experience in Microsoft Office Suite and Accounting Software.
  • 3 years’ Experience in an accounting position.
  • Experience or certificate in customer service and communication would be an asset to this role.
