The role ensures accurate production and timekeeping records, efficient tracking and resolution of maintenance issues and serves as a key coordination point to support smooth, compliant and efficient plant operations.
Core Functions
- Collect, log, communicate and follow up on maintenance issues to ensure timely resolution and accurate recordkeeping.
- Input, reconcile and maintain accurate production, attendance, timekeeping, inventory and operational data and records.
- Prepare and submit production, shipping, finished goods and other operational reports within established deadlines.
- Provide administrative support to the Plant Manager, including scheduling, correspondence, filing, meeting coordination, cheque requisitions, expense tracking and maintenance of operational documentation.
- Monitor inventory levels and coordinate follow-up on supplies, deliveries and other plant operational requirements.
- Liaise with Production, Maintenance, HR, Accounting and other departments to support effective communication and operational coordination.
- Support plant audits, inspections, projects and other regulatory or compliance-related activities.
- Ensure accurate completion, submission, filing and maintenance of Quality Control and operational records in accordance with company standards and regulatory requirements.
- Ensure compliance with all food safety, quality, environmental, health and safety standards and protocols.
Minimum Requirements: Education, Knowledge, Skills and Abilities
- Diploma in Management Studies, Business Administration or any other related area of discipline.
- Minimum of three (3) years’ experience in an Administrative role or similar role in production.
- Proficiency in the use of Microsoft Office Suite in particular MS Word, MS Excel and MS PowerPoint.
- Strong organizational and multitasking abilities, with the ability to work efficiently in a fast-paced environment.
- Knowledge of Good Manufacturing Practices (GMP) and other manufacturing standards.
- Experience in inventory management and operations management would be an asset.
- Excellent human relations, communication, time management, organizational, critical thinking and problem solving skills.
- Highly professional, ethical and of integrity.
- Ability to multitask and work efficiently in a fast-paced environment.
- Must be comfortable working within a manufacturing environment and entering the production facilities as required.
- Required to work on weekends and public holidays, to meet operational demands.
