Accounts and audit Clerk Job: specializing in bakery production
Role Overview: The Bakery Production Clerk is responsible for the daily administrative coordination of the kitchen. Their primary goal is to ensure production meets order demand, costs are tracked, and every outgoing shipment is verified and invoiced accurately.
Core Responsibilities but limited to:
- 1. Production Planning & Data Entry:
Translate wholesale and retail orders into daily production requirement schedules.
Record daily production data, including total units made, defects, and scrap/wastage to protect gross profit. Update KPI charts and follow up on any missing or discrepant production info.
- 2. Costing & Auditing: Monitor ingredient and packaging usage to ensure it matches established recipes and costing models.
Conduct regular physical inventory counts and reconcile them with digital records to prevent shrinkage.
- 3. Secure Dispatch & Verification: Inspect all outgoing orders for accuracy, ensuring quantities and types match the delivery notes exactly.
Maintain a dispatch log with driver information and departure times as a security measure.
Prepare and process shipping documents, such as pick tickets and delivery labels.
- 4. Invoicing & Documentation: Generate invoices immediately upon order completion or dispatch to ensure timely billing.
Maintain organized records of all transactions, sales, and supply requisitions.
Required Skills & Qualifications
Numeracy & Detail: Strong basic math skills for calculating production yields and checking invoice accuracy.
Organizational Mastery: Ability to coordinate the flow of work between the baking, packaging, and dispatch teams.
Computer Literacy: Proficiency in data entry, spreadsheets (Excel), Microsoft Office or specific bakery management/ERP and Peach Tree.
Integrity: A firm approach to security protocols to ensure goods are not removed without proper documentation.
