Head of Warehousing
The Head of Warehousing is responsible for enforcing health, safety, and compliance standards across all sites. In addition to strategic oversight, this is a hands-on role that requires direct involvement in daily operations, staff management, and process improvement. The Head of Warehousing will play a key role in optimizing warehouse layouts, driving productivity, and improving cost-efficiency within the logistics and supply chain functions.
Key Duties & Responsibilities:
The following highlights key deliverables critical to the performance of the role.
- Enforce company safety policies and procedures including safety gear/ dress and warehouse signage.
- Conduct regular safety inspections and training.
- Report and investigate accidents or incidents in accordance with the Company’s reporting protocols.
- Ensure proper use and maintenance of warehouse equipment (e.g., forklifts, pallet jacks) and schedule regular inspections and repairs.
- Maintain the necessary physical controls to preserve the integrity of all stock within the Company’s warehouse to minimize the risk of loss through pilferage or waste (including spoilage, damage, or expiration).
- Organize inventory and warehouse space for optimal inventory management, workflow efficiency (Ensure proper labelling).
- Prepare and circulate reports on:
- Out-of-stock items (weekly).
- Near expired (monthly).
- Slow-moving goods (monthly).
- Non-delivery report (as applicable).
- Items received within the warehouse (weekly).
- Approved product extensions for inventory-on-hand (ad hoc).
- Coordinate and deploy resources for the execution of Warehouse counts.
- Provide explanations to count variances (shrinkages/ overages).
- Continually assess stock levels and accuracy through periodic (ideally, weekly) cycle counts.
- Continually assess the viability of stock and identify impaired inventory items for write-off. Prepare and circulate a listing of items suggested for write-off along with the reasons for the same, for review and approval by the Group Finance Manager or above.
- Collaborate with Procurement on the development of suggested orders for all warehouses.
- Review and approve receiving reports to ensure all items ordered are received in the respective freight forwarder and Group’s warehouses.
- Investigate, resolve, and report on variances between quantities ordered versus those received by freight forwarder to ensure the Company’s assets are appropriately accounted for.
- Investigate, resolve, and report on variances between quantities shipped by freight forwarder and those received by the Company’s warehouses/ agents to ensure the Company’s assets are appropriately accounted for and thereby minimize the risk of loss.
- Lead, train, mobilize, and evaluate direct reports within the Warehousing team to drive high performance in accordance with the Company’s policies and procedures and to ensure accuracy and efficiency.
- Manage warehouse budgets, equipment, and supplies.
- Collaborate across all functions within the business (including Procurement, Logistics, Finance, and Marketing).
- Managing relationships with key external partners, including freight forwarders/delivery personnel, customs (etc.), to ensure that the Company’s best interests are served through accuracy, regulatory compliance, and efficiency.
- Support the development and implementation of the warehouse management systems (WMS) to track inventory and orders.
- Implement new technologies/ processes to enhance efficiency.
- Report on all the above and other tasks that fall within the function in order to guide management’s decisions.
- Maintain proper records of all documents managed by him/ her for audit trail.
- Any other task assigned in furtherance of the Company’s objectives.
Minimum Qualifications – Education & Experience:
• Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or related field.
• At least 7 years of progressive warehouse or supply chain management experience, including at least 3 years in a leadership role.
• Strong knowledge of warehouse operations, inventory control systems, and logistics processes.
• Experience implementing or working with Warehouse Management Systems (WMS).
• Demonstrated success in leading teams across multiple warehouse locations.
• Knowledge of occupational health & safety regulations and compliance standards.
• Proficiency in MS Office Suite (Excel, Word, Outlook); ERP/WMS systems knowledge required.
