About the Opportunity
We are seeking a highly organized and professional Executive Assistant to provide comprehensive administrative support to the Vice President of Operations for Jamaica and Guatemala. This role is critical to ensuring the smooth and efficient functioning of the executive office and supporting strategic and operational priorities across both regions.
The ideal candidate is detail-oriented, proactive, and capable of managing competing priorities while handling confidential information with the highest level of discretion in a fast-paced environment.

Role Responsibilities
- Provide high-level administrative support to the Vice President of Operations, ensuring seamless day-to-day operations
- Manage complex calendars, scheduling meetings, and prioritizing sensitive and business-critical matters
- Review, prioritize, and respond to emails and correspondence on behalf of the Vice President
- Coordinate domestic and international travel arrangements, including transportation and accommodations
- Prepare reports, presentations, and executive-level communications
- Maintain strict confidentiality of sensitive information and documents
- Organize meetings and events, including logistics, materials, and vendor coordination (e.g., catering, décor, engagement activities)
- Coordinate and support company-wide initiatives, including leadership events such as the Annual Leadership Summit
- Record and maintain accurate meeting minutes and follow up on action items
- Track and manage expenses, working closely with Finance and Accounts Payable
- Support internal communications through company systems, including announcements and memos
- Welcome and coordinate visitors, clients, and stakeholders
- Perform general office management duties, including ordering and maintaining office supplies
Attributes and Experience
- Possess a deep understanding of basic desktop troubleshooting, Microsoft Office and Windows.
- Proactive with self-direction.
- 3 or more years of experience in an Executive Assistant role
- Bachelor’s degree required.
Job Type: Full-Time
This position requires a high degree of flexibility and availability to meet business needs, including on-call support as necessary. The role may involve working outside of standard business hours, including evenings, weekends, and public holidays, in accordance with operational requirements.
