Startup Company, is seeking a suitably qualified candidate to fill the position of Administrative Assistant/Receptionist, according to the following criteria:
Job Summary:
Assists management personnel with day-to-day secretarial, administrative and clerical duties. Greets and directs visitors Maintains and supports effective staff and customer relationships.
Qualifications & Experience:
- Management Diploma (BIMAP, UWI or other recognized institution), or
- Associate Degree in Management.
- Professional secretarial/administrative assistant accreditation.
- Certification in Microsoft Office suite from recognized institution.
- A minimum of five (5) years’ experience in a similar capacity.
Special Job Skills & Knowledge Requirements:
- Pleasant personality and telephone manner.
- Excellent command of the English language (bilingual ability in Spanish would be an asset).
- Professional secretarial skills.
- Proficiency in use of various computer software applications (Microsoft Office suite, courier software – airway bill invoicing, tracking, etc.).
- Knowledge of HRIS and payroll software preferable.
- Report writing and presentation skills.
- Excellent Customer Service.
- Sound verbal, written and listening communications.
- Effective time management.
- Ability to maintain confidentiality.
- Ability to work independently.
Essential Duties and Responsibilities:
- Assists Human Resources manager in the recruitment process: preparing and disseminating vacancy announcements, scheduling interviews, processing and orienting new hires.
- Provides general clerical and administrative support to the Human Resources Manager in the preparation of correspondence, reports, policy documents and file maintenance.
- Prepares weekly payroll.
- Answers telephone and takes messages.
- Assists with the administration of Group Benefits and Performance Management.
- Makes travel, hotel and other reservations as required.
- Schedules meetings and informs participants as required.
- Provides assistance to departmental managers with planning and administering conferences, seminars, etc.
- Performs any other functions as required, to ensure or facilitate the effective and efficient operations of the company.
