Job Title: Inventory & Procurement Officer
Job Summary
The Inventory & Procurement Officer supports the manufacturing operations by ensuring accurate inventory levels, timely purchasing of materials, and efficient coordination of warehouse activities. The role focuses on day-to-day stock monitoring, supplier coordination, and proper documentation, while working closely with the finance and production teams to maintain smooth operational flow.
Key Responsibilities
1. Inventory Management
- Monitor, calculate and maintain adequate stock levels for raw materials, supplies, and consumables to meet demand and supply.
- Consult with production, sales, and finance to forecast demand of raw materials.
- Consider historical data, market trends and seasonality.
- Conduct regular stock counts and assist with reconciliation of discrepancies.
- Update and maintain inventory records in the relevant systems.
- Generate inventory reports to support decision-making.
- Implement and enforce inventory control procedures.
- Follow established inventory control procedures to minimize waste, spoilage, and overstocking.
2. Procurement Support
- Source suppliers and obtain competitive quotations for required materials and services.
- Assist with negotiating pricing, delivery timelines, and service terms within approved guidelines.
- Maintain updated supplier information and support good vendor relationships.
- Receive and inspect materials for quality and quantity of arrival.
- Prepare purchase orders for local and foreign purchases.
3. Warehouse & Logistics Coordination
- Coordinate receiving, storage, and issuing of raw materials and supplies.
- Ensure materials are labeled, stored safely, and handled correctly.
- Maintain cleanliness and basic safety standards in the warehouse area.
- Liaise with customs brokers, shipping agents, and haulage companies for imports and local deliveries.
- Track and monitor the progress of the shipments.
- Monitor and reconcile container movements, including tracking containers received and returned.
- Follow up on refund of deposits and ensure proper documentation is maintained.
- Provide information to provide contingency plan for any delay in shipment.
- Provide all documentation relating to shipping documents, including invoices and packing lists to the relevant department.
- Monitor offloading activities and ensure proper documentation, checks, and verifications are completed.
- Track warehouse movements such as pallets, bales, and treated materials.
4. Administrative & Operational Support
- Purchase small spare parts and consumables as required.
- Provide supporting documents for the general ledger or audit requests.
- Perform related administrative duties to support procurement, warehouse, and inventory operations.

Qualifications
- Bachelor’s Degree in Supply Chain Management, Logistics, Business Administration, Accounting, Procurement, or a related field.
- Minimum of 2–3 years’ experience in inventory management, procurement, warehouse operations, or a similar role, preferably within a manufacturing or production environment.
- Working knowledge of inventory control procedures, stock management systems, and purchasing processes.
- Proficiency in Microsoft Excel and basic inventory or accounting systems.
- Ability to maintain accurate records and prepare inventory and procurement reports.
- Strong organizational and problem-solving skills with the ability to manage multiple tasks efficiently.
