ACCOUNTS PAYABLE OFFICER
The Caribbean Maritime University (CMU), the only specialized maritime university in the English-speaking Caribbean is inviting applications for the post of Accounts Payable Officer (LEVEL 4).
SUMMARY
Reporting to the Accounts Payable Supervisor, the duties of the Accounts Payable Officer include assisting with disbursements of payments. The Accounts Payable Officer receives invoices from vendors and matches these to the approved purchase orders and ensures accuracy of accounting distributions. The Officer is responsible for ensuring that the bills of the CMU are approved and paid promptly.
Key Outputs:
- Vendor Invoice created in ODOO, invoices charged to cost centers and relevant general ledger Accounts
- Invoices for payment prepared
- Discrepancies regarding purchase orders, contracts, invoices or payments resolved.
- Accurate accounts payable ledger maintained
- Payment confirmation to be sent to suppliers
- Payment vouchers, supporting invoices, receival notes and purchase orders filed
- Confidentiality of payments maintained
- Payments to budget checked
PRIMARY RESPONSBILITIES
- Creates vendor invoice in ODOO, charging invoices to cost centers and relevant general ledger accounts;
- Process invoices for payment;
- Prepare NCB ACH/RTGS File upload for payment;
- Assist in resolving discrepancies regarding purchase order, contract, invoices or payment discrepancies;
- Ensures CMU payments are recorded on suppliers’ statements and credit notes recorded;
- Reconciliation of suppliers’ accounts assigned monthly;
- Assists in the maintenance of accurate accounts payable ledger, including the preparation of month end journals;
- Maintains other assigned accounts payables accounts in general ledger;
- Scan payment documents for upload in the accounting software (ODOO).
- Maintains confidentiality of payments. Keeping accounts payable records within the accounts payable section;
- Checks payments to budget;
- Facilitates payment of invoices due by sending bill reminders and contacting clients;
- Reconciles accounts payable ledger to ensure that all payments are accounted for and properly posted.
MINIMUM REQUIRED EDUCATION AND EXPERIENCE
- Bachelor’s degree in accounting or finance.
- Must have experience working with an ERP system.
- Three (3) years’ working experience in similar position.

Technical
- Must be able to manage outstanding payables and maintain up to date reports, tracking and trends.
- Must be capable of developing and delivering feedback using multiple tools, assessing progress and measuring performance effectiveness.
- Must have experience working with an ERP system.
- Proficient in Excel.
- Must possess previous accounts payable experience.
- Proficient in the use of personal computers.
