Secretary/Paralegal for a Jamaican Law Firm
Legal Experience is not imperative
Salary: Based on years of experience
Responsibilities & Duties
- Enhancing the Law Firm's reputation by carrying out all functions legally, ethically, and morally appropriate to assist the Firm in achieving the Clients' goals.
- Assisting and coordinating all secretarial and administrative tasks.
- Planning and scheduling appointments.
- Managing files and recording in an accurate and timely manner.
- Monitoring emails and diary appointments.
- Preparing responses to correspondence containing routine enquiries. Drafting, monitoring, and editing reports and correspondences to ensure a high standard of quality, grammar, and formatting.
- Acting as the point of contact between the Attorneys and internal/external clients.
- Undertaking the tasks of receiving calls, taking messages and routing correspondences and requests.
- Sorting and distributing incoming mail and preparing outgoing mail (envelopes, packages, etc.)
- Supervising Bailiff / Bailiffs Reports
- Preparing Affidavits of Service
- Assisting in the building and maintaining of databases and files (including log for collections received from clients.)
- Monitoring the progress of all cases.
- Researching documents and case history to ensure accuracy of advice and procedures.
- Working and behaving in a professional manner and to the highest standard of the profession.
- Complying with all the Firm's policies and procedures.
- Treating all information pertaining to the Firm and its clients and the businessess as wholly confidential.
- Promoting harmonious working relationships.
- Providing support to Attorneys upon request.
Requirements
- Diploma or Bachelor's Degree in Administration, Legal, or a related field.
- At least 3-5 years' experience in a similar role (Law Firm or a professional services experience is an asset).
- Proficient in Microsoft Office application
- If selected, must be able to begin immediately, if not, within 2 weeks.
