Position: Business Support Specialist
Reporting Relationship: This position reports directly to the VP Operations.
Summary:
The Business Support Specialist, with limited supervision, is responsible and accountable for expediting, and reporting on projects, initiatives and KPIs in the Operations Group which includes IT, Supply Chain, Fleet and Security operations. This position also provides strategic support for the VP Operations and has operational oversight on key activities delegated.
Duties and Responsibilities
- Tracks, expedites and reports on Projects, Contracts and AOP initiatives for the Operations Group.
- Records and follows up with direct reports to the VP Operations on department deliverables, audit reviews, certifications e.g. QA, Franchise requirements etc.
- Coordinates meetings and working sessions.
- Coordinates travel and external meetings.
- Coordinates and organizes training and other events within the Operations Team e.g. team building etc.
- Operational oversight for items delegated by the VP Operations.
- Develops, Tracks and Reports on KPIs for each functional area – Security, Fleet, Warehouse / Distribution, Purchasing/Logistics, IT.
- Coordinate development and enhancement of Executive dashboards, reviews and flags priority items e.g. demurrage, rental costs, tickets (IT and Security) etc.
- Tracks, reports and manages targets set in all areas e.g. savings.
- Assists with tracking budgets vs spend and ensures all spend approvals are supported by budget drawdowns.
- Assists with AOP development and presentations.
- Assists the VP Operations with administrative functions.
- Tracks and reports on budget compliance and flags potential spend issues.
- Provides strategic and tactical support to the VP Operations.
- Provides Human Resource Management support for departments within Operations.
- Performs other related duties, as required.

Qualifications and Experience:
- Degree or Diploma or Associates Degree in management, administration or equivalent.
- 3-5 years - experience as an executive assistant or administrator.
- Proficient in Microsoft Office, strong skills in excel.
- Proficiency in Tableau/Power BI and Microsoft Project is an asset.
