Reservation Agent/Office Assistant
Job Summary
The Reservation Agent/Office Assistant plays a key role in assisting customers in renting vehicles and providing administrative support to the Office and Car Rental operations.
Summary of Duties and responsibilities
- Answer, and direct phone calls.
- Organise and schedule appointments.
- Plan and coordinate meetings.
- Assist in the preparation of reports.
- Maintain the company’s filing system.
- Maintain office policies and procedures.
- Coordinate ordering of office supplies.
- Act as the point of contact for internal and external clients.
- Provide administrative support to management and to the office.
- Write and distribute email, correspondence memos, letters, faxes and forms.
- Be on-call on a 24-hour basis to assist clients with bookings and emergencies.
- Coordinate the assignment of deliveries and collections on a day-to-day basis.
- Organise staff schedules.
- Handle customer inquiries.
- Reserve vehicles on the system and manually.
- Log delivery and collection information from the delivery forms.
- Prepare paperwork including documentation for the inspecting and licensing of the company’s vehicles for the Barbados Licensing Authority.
Requirements
- An Associate degree in office procedures or similar.
or
- 5 CXC passes (Grade I to III) two of which must be English and Mathematics.
- One to three years working experience in the administrative field.
- Good knowledge of Microsoft Word, Excel, PowerPoint, Outlook and other office applications.
- Good writing and communication skills.
- Having a driver’s License will be an asset.
