POSITION SUMMARY
The primary responsibility of the incumbent is to perform accurate data entry, maintaining financial and administrative records, and supporting the management team with daily office operations. This role requires strong QuickBooks experience, excellent organization, and the ability to prepare documents, reports, and materials for meetings and business activities.
KEY RESPONSIBILITIES
Data Entry & QuickBooks Management
- Enter daily financial transactions into QuickBooks accurately and on time.
- Maintain and update customer, vendor, and invoice records.
- Assist with accounts receivable and accounts payable entries.
- Generate basic financial reports as required (e.g., statements, summaries).
- Reconcile receipts, payments, and transaction logs.
Administrative Support
- Provide general administrative and clerical support to the office.
- Prepare documents, reports, and presentations for management and meetings.
- Schedule meetings, coordinate appointments, and manage calendars.
- Maintain organized filing systems (electronic and physical).
- Handle incoming calls, emails, and correspondence professionally.
Office Coordination
- Assist with ordering office supplies and maintaining inventory levels.
- Support the smooth day-to-day functioning of office operations.
- Liaise with external partners, vendors, and service providers when required.
- Ensure documents are properly archived and easily accessible.
Management Support
- Assist management in preparing for meetings, presentations, and operational reviews.
- Compile data, summaries, and reports for decision-making.
- Follow up on outstanding tasks and provide status updates to management.
REQUIRED QUALIFICATIONS
- Minimum 4–5 years’ experience in administrative support, data entry, or accounting support roles.
- Strong working experience with QuickBooks (daily use required).
- Diploma in Business Administration, Accounting, or a related field.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Excellent attention to detail and high accuracy in data entry.
- Strong communication, organization, and time-management skills.
