Job Summary
The Customer Service Associate is responsible for coordinating and managing all documentation and communication related to incoming shipments. This includes notifying customers of expected arrivals through pre-alerts, maintaining regular contact with shipping lines to obtain estimated arrival times, and corresponding with customers to provide shipment updates. The role involves preparing and submitting riders to shipping agents, generating invoices in MAGAYA, and ensuring all supporting documents such as Bills of Lading are accurately processed and shared with customers.
Additionally, the incumbent will be responsible for entering shipment data into ASYCUDA, preparing revenue reports for accounts, confirming arrivals with agents, and coordinating delivery documentation. The position also includes monitoring container unstuffing, tracking container returns, invoicing for demurrage where applicable, and managing customer payments and receipts. Strong attention to detail, effective communication, and the ability to follow up proactively with customers and agents are key to success in this role. The incumbent will also assist with general office and telephone duties as required.
Job Responsibilities
- Notifying customers of expected shipments via pre-alerts
- Following up with the shipping lines on a regular basis for estimated arrivals for all imports
- Corresponding with customers via email and telephone on a regular basis regarding information on their shipments
- Preparing and submitting riders to shipping agents upon receipt of their arrival notices
- Preparing invoices on MAGAYA and sending to customers along with their bill of lading and other supporting documents notifying them of the arrival of their shipments
- Entering all Bills of Lading in ASYCUDA
- Preparing a revenue to accounts for each shipment showing the profit on respective shipment
- Confirming arrival of shipment with shipping agent in order to co-ordinate getting delivery documents for customer
- Advising customers of arrival of shipment using MAGAYA and readiness of delivery
- Following up with the various agents for containers which need to be unstuffed and advising customers of same
- Following up with the return of containers to port and invoicing customers where applicable for demurrage
- Receiving payments, preparing receipts and giving customers documents
- Following up with customers on outstanding payment of invoices
- Assisting with the answering of the telephone
- Any additional duties and responsibilities associated with the position
