Supreme Ventures Services Limited, a subsidiary of Supreme Ventures Limited, is seeking to identify an Executive Assistant fo rthier Corporate Offices.
The ideal candidate will take responsibility for day-to-day Corporate Secretarial support functions, working closely with the Corporate Secretary. This role also offers the opportunity to help establish, develop and monitor new systems and processes, working closely with the Corporate Secretariat, through its governance function, to ensure full compliance with all regulations relating to a listed company.
DUTIES AND RESPONSIBILITIES:
- Manage key deadlines for filing annual returns, reports, and other statutory obligations for all entities within the Group.
- Arrange in conjunction with Group Corporate Secretary and with all other relevant parties, the Annual General Meeting, Board and Sub-Committee meetings for all entities within the Group.
- In liaison with the appointed Registrar and the Group Corporate Secretary, preparing and, on a timely basis, circulating, documentation in relation to shareholder meetings and ensuring the smooth running of such meetings.
- Prepare and circulate minutes of meetings and ensure that the details of the resolutions and decisions are in order so that proper account of them is taken by the Supreme Ventures Group.
- Maintain record of the Group’s Intellectual property.
- Maintain up-to-date statutory registers, minute books, and corporate governance records across all entities within the Group.
- Assist in preparing and filing statutory disclosures, annual returns, and other regulatory documents with authorities.
- Assist with special projects, research, and other tasks as directed to support the corporate governance function.
- Ensure proper maintenance and security of company legal and registration documents including certificates, registration papers, licenses, and statutory filings
- Arrange for the payment of remuneration and reimbursement of expenses of the Directors.
- Provide all relevant support to Group Corporate Secretary and by extension the operations of the Board.
QUALIFICATIONS & EXPERIENCE: (skills & Knowledge)
- Bachelor’s Degree in Business Administration or professional administrative certification from a recognized institution.
- 1-3 years’ Proven experience as an Executive Assistant or similar role, preferably in a corporate or group of companies environment
- Strong Communication and Interpersonal Skills
- Proficiency in MS Office Suite and relevant corporate management software
- Full comprehension of office management systems and procedures
- Excellent professional writing and proof-reading skills
- High level of English proficiency
- Exemplary planning and time management skills
- Proactive approach, including identifying and acting on the needs of the Board and Corporate Secretariat team
- Ability to handle confidential and sensitive information with discretion and professionalism
- Keen eye for detail
