Legal Assistant

The successful candidate will provide support in handling residential and commercial property transactions, assisting with documentation, filings and communication throughout the conveyancing process. He/She must be meticulous and proactive.
Key Responsibilities:
- Prepare draft Agreements for Sale, Deeds of Conveyance, Mortgages, Leases, Applications for Grants of Probate and Letters of Administration and other related legal documents for review by the Attorney.
- Conduct title searches and liaise with the Land Registry, Board of Inland Revenue, and financial institutions.
- Prepare stamp duty calculations and assist with the stamping and registration of documents at the Board of Inland Revenue (BIR) and registration at Registration House.
- Coordinate with clients, surveyors, valuers, and statutory bodies to gather and process required information.
- Maintain accurate case files, manage deadlines, and support attorneys through to completion of transactions.
- Provide timely response and status updates to clients.
- Dispatch finalised, registered and certified documents as instructed by Attorney.
- Prepare invoices for matter at end of transaction and send to client.
- Follow up and follow through on outstanding invoices.
Estates
- Prepare Probate search forms, with copy of death certificate for signature by the Attorney.
- Submit Probate search forms to the Courier Clerk for lodging with the Probate Registry.
- Follow up at the Probate Registry until the Probate search is returned.
- Prepare Probate application for filing along with lodged Probate Search and the rest of application documents.
- Follow through until stamped copy of the probate application is returned.
- Maintain Probate spreadsheet to guide you and the Courier Clerk once the application is filed.
- File sworn supplemental affidavits and declarations.
- Proactively liaise with the client about current status.
- Dispatch final documents as instructed by the Attorney.
Qualifications, Experience & Skills/Abilities
- Paralegal certification from an accredited and recognised educational institution is preferred.
- Strong understanding of local property law, land title systems, and stamp duty procedures.
- 3-5 years of experience in a conveyancing or legal support role.
- Demonstrates a high level of discretion and ability to maintain confidentiality.
- English proficiency – speaking, reading, and writing.
- Commitment to providing superior client service.
- Excellent communicator with strong organisational skills.
- Careful attention to detail.
- Reliably manages deadlines and deliverables.
- Strong working knowledge of Microsoft Office Suite, particularly Word, Excel, and Outlook.
- Familiarity with the electronic land registry system.
