Job Overview
We are seeking a resourceful, dedicated and proactive Administrative Assistant. The role includes managing typical office tasks, providing courteous and professional assistance to customers and clients via phone, mail, and e-mail. In addition, the job requires scheduling of appointments and the provision of helpful collaboration and effective teamwork. A high level of self-motivation and professionalism, and the ability to prioritize tasks in a fast-paced corporate environment is also required.
Responsibilities Summary
- Answer and direct phone calls.
- Organize and schedule appointments.
- Plan meetings and take detailed minutes.
- Write and distribute email, correspondence memos, letters, faxes and forms.
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system.
- Update and maintain office policies and procedures.
- Order office supplies and research new deals and suppliers.
- Provide general support to visitors.
- Act as the point of contact for internal and external clients.
- Provide administrative support to the CEO and senior management team.
Requirements
- An Associate degree in office procedures or similar.
or
- 5 CXC passes (Grade I to III) two of which must be English and Mathematics.
- One to three years working experience in the administrative field.
- Good knowledge of Microsoft Word, Excel, PowerPoint, Outlook and other office applications.
- Good writing and communication skills.
