Job Summary:
Genba Lounge and Grill is seeking a detail-oriented and proactive Administrative Assistant to support our daily operations. The ideal candidate will be highly organized, efficient, and capable of handling multiple tasks in a dynamic hospitality environment.
Key Responsibilities:
- Provide administrative support to the management team, including scheduling meetings and assist in the preparation of regularly scheduled reports.
- Monitor and maintain permits for staff and the company.
- Open and route incoming mail, answer correspondence, and prepare outgoing mail.
- Compile, copy, sort, and file records of office activities, business transactions, and other activities.
- Maintain and update filing, inventory, mailing, and database systems.
- Communicate with customers, employees, and others to answer questions, disseminate information, and address complaints via telephone, WhatsApp, and Instagram.
- Produce and distribute correspondence memos, letters, and forms.
- Oversee office inventory.
- Support HR tasks such as employee documentation and assisting with recruitment processes.
- Maintain up-to-date employee attendance records.
- Assist with event planning, marketing coordination, and special projects as needed.
- Manage social media correspondence, including content scheduling, responding to inquiries, and engaging with followers.
- Coordinate reservations, ensuring efficient booking and accurate guest information.
- Handle accounting tasks as listed below:
- Enter data for cash sales, invoices, and receivables.
- Analyze and reconcile all receivables accounts.
- Prepare a weekly AR Summary Sheet.
- Check and reconcile the cash book.
- Scan and upload invoices to QuickBooks.
- Perform other duties as assigned.
Qualifications/requirements
- Associate's degree or diploma in Business Administration or a related field.
- Minimum of 2 years of administrative experience; hospitality experience is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Familiarity with social media management tools and basic accounting software such as Quickbooks.
- Excellent communication and interpersonal skills.
- Strong organizational and time-management abilities with attention to detail.
- Ability to work independently and as part of a team in a fast-paced environment.
- Able to work on Saturdays.
