Job Title: Junior Accounts Assistant
Role Overview:
The Accounting Assistant plays a critical role in supporting the accounting team by performing accurate and timely data entry, maintaining organized financial records, and assisting with essential accounting operations. This role involves working with accounting software, ensuring compliance with standard procedures, and providing administrative support to enhance the efficiency of the department.
Key Competencies:
Accounting Data Entry
- Duplicate Purchase Orders (POs) in Xero from Dear.
- Enter bills and expenses into Xero, ensuring accurate categorization.
- Post recurring expenses, such as leases and rentals, in Xero.
- Enter expenses into Xero, including:
- Advertising costs: Facebook and Instagram Ads.
- Social Media Management: Slack, LinkedIn, Facebook, Instagram expenses.
- Subscriptions: Janitorial Software Manager, Microsoft Office, Upwork, etc.
- Other data entry requirements as assigned.
Filing
- File invoices, petty cash records, cheque payments, vouchers, and receipts accurately.
- File receipts in corresponding files within three days of receipt from TBS.
- Other filing requirements as assigned.
Support and Assistance
- Assist in maintaining Accounts Receivables and Payable registers to track recurring payments and expenses.
- Support payroll processing tasks, including data preparation.
- Help maintain a master price list for all products offered.
- Assist in updating product information in the Point of Sale system, including descriptions, costs, and quantities.
Ad Hoc Tasks
- Perform bank-related work, such as physically depositing cheques (no withdrawals).
- Handle accounting liaison tasks as assigned.
- Provide support to the Accounting Supervisor and Senior Accounting Assistant as needed.
Qualifications & Requirements:
- ACCA Level 2 Diploma or equivalent certification
- At least 1-2 years of experience in an accounting, bookkeeping, or administrative support role.
- Familiarity with accounting software like Xero and Dear Systems is highly desirable.
- Experience with financial data entry, filing, and maintaining organized records.
- Advanced knowledge of Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Strong ability to categorize and track expenses, invoices, and other financial transactions
- Proven track record of completing tasks within strict deadlines
- Strong interpersonal skills for collaboration with the accounting team and other departments.
