Job Title: Data Management Analyst
Job Purpose / Objective:
The incumbent will be responsible for leading the organization, consolidation and standardization of digital files stored across departments on the Company’s shared network/ systems. This role will involve implementing a clear and consistent data management protocol (to be developed and agreed upon), coordinating with department heads, and ensuring that digital files are logically structured, accessible, and maintained in a secure and orderly manner. The position will serve as the central point of coordination for this data management initiative, ensuring alignment and consistency across the Company.
Roles / Responsibilities:
- Collaborate with all department heads to understand existing file structures and data usage.
- Develop and implement a standardized data management protocol across departments (in coordination with leadership).
- Lead the reorganization and migration of digital files on the shared drives / systems.
- Manage the transition of physical documents to electronic records.
- Ensure consistent naming conventions, folder structures, and file versioning practices are applied.
- Identify and eliminate duplicate, outdated or unnecessary files.
- Coordinate regular data audits to maintain data integrity and organization.
- Provide training and support to staff on the updated file structure and data management processes.
- Maintain confidentiality and data security protocols throughout the project.
- Document all changes and ensure proper communication and handover with departments.
- Any other projects or services as may be required by the Company.
Job Specifications / Qualifications:
- Diploma or Bachelor’s degree in Information Management, Computer Science, Business Administration or a related field.
- Previous experience in data organization, administrative coordination or document management.
- Proficiency in working with shared network drives and file systems.
- Good understanding of file naming conventions and data organization principles.
- Proficiency in Microsoft Office Suite (especially Excel, Word, and Outlook).
- Effective communication and interpersonal skills, as well as the ability to work well in a diverse, multidisciplinary team environment.
- Experience with data management tools or document management systems is a plus.
- Strong attention to detail and high level of organizational skills.
- Ability to work independently and proactively manage tasks.
- Trustworthy and reliable, especially in handling sensitive or confidential information.
- Strong analytical and problem-solving skills.
Working Environment:
- May involve periodic travel to other Company locations, as well as attendance at seminars or training sessions.
- Some evening and weekend work may be necessary to support issue resolution, scheduled upgrades, or meet critical deadlines.
- Responsibilities may occasionally extend beyond standard office hours due to operational needs, Company events, or emergency management duties.
- Primarily an onshore-based role, with occasional offshore visits as required.
