Receptionist
Overview:
As the Receptionist at Sygnus, you will be the first point of contact for visitors and clients, ensuring a professional and welcoming environment. Your responsibilities include managing front desk operations, managing inventory supporting office logistics, and assisting with the smooth day-to-day running of the office.
This role requires strong organizational skills, excellent communication, and a proactive approach to providing high-quality administrative support.
Key Responsibilities:
- Serve as the first point of contact by greeting visitors, managing incoming calls, and directing inquiries professionally.
- Proactively address visitor and team member needs with professionalism and a solutions-oriented approach.
- Maintain a tidy and welcoming reception area that reflects the firm’s standards of professionalism.
- Oversee and coordinate the office maintenance and cleaning schedule, ensuring high standards of safety, functionality, and cleanliness.
- Coordinate meeting logistics, including scheduling, booking rooms, preparing materials, and arranging refreshments.
- Coordinate and support travel logistics, including flights, accommodations, transportation etc.
- Support office operations by managing supplies, handling deliveries, and liaising with vendors and service providers including bearers and couriers.
- Oversee access control, visitor logs, and building security protocols to ensure a safe and efficient workplace.
- Manage mail distribution, courier services, and other front desk administrative tasks.
- Assist with office technology needs by coordinating with IT for troubleshooting and support.
- Provide comprehensive administrative support: document preparation, petty cash management, and assistance with corporate events.
- Take initiative to identify and resolve complex operational and administrative issues, implementing effective, scalable solutions independently.
Relevant Skills, Knowledge and Experience:
- Diploma/Associate degree in Administrative Management/Management Studies/Business Administration or a related field preferred.
- Minimum 5 years of administrative experience, ideally in financial services.
- Strong ability to work independently and collaboratively, with excellent knowledge of office procedures.
- Project management experience would be an asset.
- Tech-savvy with proficiency in office management systems, ERPs, MS Office, online calendars, and cloud platforms.
- Maintains confidentiality, with strong communication and collaborative skills.
- Demonstrates sound judgment, analytical thinking, and adapts well to changing environments without compromising outcomes.
