The Executive Assistant will be responsible for providing high-level administrative support whilst monitoring the execution of key business initiatives and programmes to ensure alignment with organizational goals.
Core Functions
- Provide high-level administrative support to the Managing Director (MD) and/or other Senior Executives, if required.
- Manage the MD’s calendar, schedule meetings and coordinate logistics for internal and external engagements.
- Draft and prepare professional correspondences, memos, reports, presentations and other documents.
- Coordinate reports from operations; compile and present comprehensive summaries to support strategic decision-making.
- Monitor and drive execution of special projects and business initiatives, ensuring timely completion and alignment with objectives.
- Prepare accurate minutes and follow up on action items.
- Screen all incoming communication, prioritize items for the MD’s attention and ensures timely responses.
- Maintain confidential records, files and documentation.
- Oversee general office tasks such as maintaining office supplies, invoice processing and payments as well as expense tracking.
Minimum Requirement: Education, Knowledge, Skills and Abilities
- An Associate Degree in Business Administration, Management Studies, Operations Management or a related field.
- Minimum of three (3) years’ experience in an administrative role.
- Proficiency in the use of Microsoft Office Suite, with strong emphasis on PowerPoint, Excel and Word.
- Experience in a sales-driven and/or manufacturing environment is a strong asset.
- Excellent human relations, communication, time management, organizational, critical thinking and problem solving skills.
- Highly professional, ethical and of integrity.
- Strong interpersonal skills and ability to engage with all levels of staff and stakeholders.
