Job Title: Service Advisor
Job Summary:
We are seeking a professional and customer-focused Service Advisor to serve as the key liaison between customers and the service department. The successful candidate will ensure a smooth and efficient service experience, from vehicle intake to delivery. This role combines strong customer service skills with administrative responsibilities to support the overall productivity of the department.
Key Responsibilities:
Customer Service & Vehicle Intake
- Greet customers professionally and conduct detailed vehicle check-ins.
- Accurately document customer concerns and vehicle issues.
- Provide service estimates and explain recommended repairs or maintenance clearly.
- Obtain necessary approvals for work to be completed.
- Communicate effectively with technicians to ensure accurate diagnostics and service execution.
- Keep customers updated on service progress, changes, and completion timelines.
- Support general reception duties within the service area as needed.
Administrative Support
- Maintain and update service records in the internal system.
- Prepare invoices and process payments for completed services.
- Track warranty claims, recalls, and parts orders.
- Assist with appointment scheduling and maintain service logs.
- Manage internal documentation such as repair orders and customer files.
- Provide administrative support to the Service Manager, including report generation, time tracking, and compliance documentation.
Coordination & Team Collaboration
- Work closely with the parts department to ensure timely availability of required components.
- Coordinate with technicians to prioritize repair orders and ensure service deadlines are met.
- Ensure all service-related activities align with company policies and industry standards.
Qualifications:
- Minimum of five (5) CXC passes including Mathematics and English; post-secondary education is an asset.
- Strong administrative, organizational, and communication skills.
- Familiarity with dealership or service management software is a plus.
- Ability to multitask and work efficiently in a fast-paced environment.
- Prior experience in a service advisor, administrative, or customer-facing role is an advantage.
- Flexibility with work hours and location is required.
