The incumbent is responsible for managing and overseeing all warehouse activities, ensuring efficient processes, and maximizing warehouse productivity.

Duties & Responsibilities:

  • Supervising warehouse staff and daily warehousing operations and activities, and organizes and monitors workflow to ensure efficiency and target achievement.
    • Maintains a high degree of visibility and access to warehouse employees throughout the workday;
    • Coordinating and ensuring adherence to stock rotation protocols for all materials and products, as well as maintaining adequate records for traceability as per quality requirements;
    • Tracking and coordinating the receipt, inspection, handling, storage, and timely delivery of incoming materials (both local and import);
    • Regularly checking orders, bills, items received, inventory, stock sheets and deliveries for accuracy.
    • Coordinating of picking, packing, scheduling and dispatching deliveries (both local and export);
    • Perform and/or ensure regular cycle counts of warehouse inventory (by storage location and expiry dates) are done daily or as required;
    • Performing daily inspections of the warehouses to ensure acceptable storage conditions and organization;
    • Coordinating and maintaining fleets, forklifts and equipment;
    • Communicates with internal departments and other parts of the value chain to ensure the timely supply of raw and packaging materials to internal customers as well as finished goods to external customers;
    • Safeguards warehouse operations and contents by ensuring adherence to security protocols, monitoring and reporting of security breaches;
    • Ensures all warehouses and storage area are clean, properly packed & properly organized to ensure maximum storage capability.                      
    • Managing, evaluating and reporting on warehouse productivity and key performance indicators;
    • Achieves results by communicating job expectations; planning, monitoring, and appraising job results; coaching, counselling, and disciplining employees; and initiating, coordinating, and enforcing systems, policies, and procedures.
    • Maintains workflow by monitoring and upgrading processes, observing control points and equipment, monitoring personnel and resources, implementing cost reductions, developing reporting procedures and systems, facilitating corrections to malfunctions within process control points, and initiating and fostering a spirit of cooperation within and between departments.
      • Completes the warehouse plan by scheduling and assigning personnel, accomplishing work results, establishing priorities, monitoring progress, revising schedules, resolving problems, and reporting results.
      • Perform administrative functions such as developing and maintaining department databases, google sheets, preparation and distribution of routine production reports as well as development of SOPs and checklists.
      • Updates and maintains departmental training records, vacation, absenteeism, disciplinary and tardiness logs;
      • Prepare meeting minutes, time sheets, draft and distribute disciplinary letters, memorandums, purchase requisitions and payment vouchers when required.
      • Communicate Key Performance Indicators (KPIs) from the Operations Business Unit Plan so that each employee is aware of expectations and deliverables.
      • Conforms to all established departmental & company policies, procedures & objectives, fulfils the requirements of CGA Ltd.’s SQF Program including but not limited to GMPs, PPE, HACCP, food safety & HSE site protocols.
      • Be knowledgeable of all warehouse operations, protocols and activities;
      • Recommend and /or implement new methods, processes, and improvements where required;
      • Immediately report any non-conformances relating to warehousing operations to the warehouse manager;
      • Performs other related tasks and responsibilities as required by the Warehouse Manager;
      • Maintains warehouse staff job results by coaching / training, appraising, monitoring and if required disciplining employees;
      • Assists with tracking and managing of departmental expenses to minimize departmental costs, including overtime.
      • Performs other related tasks and responsibilities as required by the Warehouse Supervisor and/or Manager;
      Undergo any job-related training required by the company;
