Job Summary:            This position requires a manager who takes full ownership of operational challenges, moving beyond simple delegation to ensure critical tasks are completed with accuracy and on schedule. The role demands a "we" focused leader that fosters collaboration across departments and maintains a visible presence on the front lines to identify and rectify inefficiencies before they become failures.

 

Reports to:                  Chief Executive Officer

 

Direct Reports:           All Warehouse Personnel and Delivery Team

 

Duties & Responsibilities:

  • Strategic Planning & Optimization: Develop and implement strategic plans for warehousing and delivery operations to align with company objectives and maximize efficiency. Identify and implement process improvements to enhance service level and optimize the supply chain
  • Warehouse Management Oversight: Provide leadership and direction to the Warehouse Officers and general personnel, to ensuring efficient warehouse operations including receiving, storage and dispatch. Monitor warehouse performance against key metrics and implement corrective actions as needed.
  • Warehouse Cash Float: Disburse out-of-town travelling allowance to Driver’s Assistance and prepare reimbursement documentation.
  • Fleet Management:  Manage the maintenance, repair, and general upkeep of all delivery and warehousing equipment.
  • Stock Level Management: Manage and maintain minimum stock level at the main warehouse by monitoring product quantity and request/organize transfers from the offsite locations.
  • Transportation & Delivery Management: Oversee all transportation and delivery activities, ensuring timely and cost-effective delivery of goods to customers. This includes route optimization, fleet management and Delivery Team management.
  • Performance Monitoring & Reporting: Establish key performance indicators (KPIs) for warehousing and delivery functions. Regularly monitor performance against these KPIs, analyse trends, and produce comprehensive weekly and monthly reports for senior management, highlighting performance, challenges, and improvement initiatives.
  • Team Leadership & Development: Provide strong leadership and guidance to the Warehouse personnel and delivery teams. Foster a positive and productive work environment, promote teamwork, and ensure adequate training and development opportunities for all team members. Address performance issues and implement disciplinary actions when necessary, in collaboration with HR.
  • Inventory Department Collaboration: Readily collaborate with the inventory department to address discrepancies and stock counts. Analyse inventory variance reports and work alongside with the Inventory Manager to implement preventative countermeasures.
  • Operational Accountability: Ensuring core functions are managed with full commitment, even when they require work outside of standard business hours to meet critical deadlines.
  • System Collaboration: Actively use and maintain shared project trackers and digital files to ensure senior management has real-time visibility.
  • Customer Service Focus: Maintain the highest standards of customer service by ensuring efficient and reliable delivery operations. Address and resolve delivery-related customer issues in a timely and professional manner, liaising with Sales, Customer Service, and other relevant departments.
  • Safety & Compliance: Ensure that all warehousing and delivery operations are conducted in a safe manner and comply with all relevant health, safety, and environmental regulations, as well as company policies and procedures.
  • Cross-Functional Collaboration: Collaborate effectively with other departments, including Sales, Procurement, and Finance, to ensure seamless integration of logistics and delivery operations with overall business processes.
  • Continuous Improvement: Drive a culture of continuous improvement within the logistics and delivery functions, proactively seeking opportunities to enhance efficiency, reduce costs, and improve service quality.
  • Policy Adherence: Ensure a clear understanding and consistent application of company policies and the company's vision within the warehouse and delivery teams.
  • Other Duties: Perform any other duties as assigned from time to time based on the needs of the company.
