Our client, CGA Limited is seeking to fill the position of Warehouse Manager.

JOB SUMMARY

The incumbent will manage the activities of the warehouse personnel involved in the receiving and shipping of CGA Products and ensure that all policies and procedures are followed. He/she will be responsible for the operation of a section within the Warehouse function, in addition to, providing  line management to the team, coordinating their workloads, providing support to ensure that the team delivers, monitoring any issues, and ensuring production targets, KPIs, and quality standards.

 

DUTIES & RESPONSIBILITIES

  • Manages all warehousing operations and activities, to ensure the highest level of productivity & efficiency;
  • Coordinates and ensures adherence to stock rotation protocols for all materials and products, as well as maintaining adequate records for traceability as per quality requirements;
  • Coordinates and monitors the receipt, inspection, handling, storage, and timely delivery of incoming materials (both local and import);
  • Ensures deliveries (local & export) are dispatched & delivered on time. Communicates with the Sales Team regarding any issues affecting deliveries.
  • Ensures regular, documented cycle counts of warehouse inventory (by storage location and expiry dates) are done daily or as required;
  • Conducts regular inspections of warehouse storage areas to ensure adherence to best warehouse practices, quality, foods safety & HSE standards.
  • Supports the Warehouse Supervisory Team with the day-to-day operation of the warehouse, to ensure efficient operations whilst achieving warehousing KPI targets, in alignment with the Balanced Scorecard.
  • Maintains a high degree of visibility and access to employees on the warehouse floor throughout the workday.
  • Maintains and coordinates the overall organization of the warehouse (internal and external) in accordance with best practices.
  • Collaborate with Operations, HSE and Quality teams to develop and implement warehousing policies and procedures.
  • Designs and maintains an efficient system to manage the Company’s warehouse inventory.
  • Monitoring of warehouse inventory levels, accuracy of stock sheets and expiry dates of raw materials (Aging Reports).
  • Submits reports on warehouse inventory, out of stock items, write offs and aging of raw materials and finished goods.
  • Communicates with other parts of the value chain to ensure the timely supply of raw and packaging materials to internal customers as well as finished goods to external customers.
  • Maintains warehouse staff by selecting, orienting and training employees.
  • Maintains warehouse staff job results by coaching, appraising, monitoring and if required disciplining employees.
  • Ensures succession planning is in place for warehouse responsibilities;
  • Resolves warehouse-related issues with representatives from other departments throughout the company.
  • Develops and monitors the Warehouse department’s budget to achieve financial objectives by managing expenditures, analysing variances and initiating corrective actions especially for overtime.
  • Develops and revises SOPs, checklists and ensures adequate records are maintained for all warehouse related activities.
  • Safeguards warehouse operations and contents by collaborating with the Security Team, to establish and monitor security procedures and protocols.
  • Managing, evaluating and reporting on warehouse productivity and key performance indicators;
  • Recommend and /or implement new methods, processes, and improvements where required;
  • Conforms to and enforces all established departmental and company policies, procedures and objectives, GMPs, food safety and HSE site protocols;
  • Ability to conduct detailed investigations into warehouse related non-conformances, prepare reports, inclusive of corrective actions.
  • Immediately report any non-conformances relating to warehousing operations to the Chief Production Officer.

 

QUALIFICATIONS AND EXPERIENCE

  • Degree in Business, Management, Logistics or related field
  • Three (3) years managerial experience.
  • Five (5) – six (6) years’ experience in a Warehouse environment (preferably with a manufacturing company)
  • Strong working knowledge of warehouse operations and management
  • Proficiency in Microsoft Office and data entry software (SAP, Odoo etc.)
