JOB SUMMARY

The Warehouse Inventory Control Officer collaborates with internal stakeholders to ensure the integrity and accuracy of physical inventory through rigorous auditing, compliance with standard operating procedures, and strategic oversight of inventory control processes within the Warehouse operations. This role is key to maintaining inventory accuracy, addressing discrepancies, and upholding operational compliance. 

JOB DUTIES 

  • Stock Count:
    • Ensure execution of all planned/scheduled inventory auditing processes in assigned warehouses and other inventory locations (e.g. Cold Chain Storage, DT Vans, Delivery Trucks, Warehouses). This includes perpetual/cycle counts, biannual and annual stock counts, and ad hoc counts as needed. Ensure a Planned vs Actual completion rate of 100%.
    • Ensure all stock counting activities are meticulously documented and reconciled to maintain an inventory accuracy of ≥ 99.8%, coordinating with warehouse teams and other departments as necessary. 
  • Variance Investigation & Resolution:
    • Investigates all inventory variances and discrepancies, performing root cause analyses and implementing corrective actions to prevent recurrence.
    • Collaborate with the Warehouse and Inventory Team on discrepancies identified in financial reconciliations, supporting appropriate adjustments, activities and disclosures for accounting accuracy.
  • Review inventory reports against physical stock levels to validate accuracy, working with the relevant stakeholders to reconcile system variances.
    • Prepare regular summaries of inventory control activities, discrepancies, and resolutions for management review, contributing insights to support strategic decision-making. 
  • Compliance Audits & SOP Enforcement:
    • Conducts regular audits on storage, inbound and outbound logistics (e.g. receivals from suppliers, returns from trade) to verify compliance with established SOPs, identifying any irregularities and areas for improvement and escalating to Management for anomalies, breaches and non-compliances.
    • Ensure adherence to SOPs related to receiving, storage, product rotation (First Expiry, First Out), and dispatching, in collaboration with warehouse and distribution teams. 
  • Inventory Reports & Reconciliations:
    • Review inventory reports against physical stock levels to validate accuracy, working with the Inventory Accounting Team to reconcile system variances. 
  • Storage Inspections & Risk Management:
    • Assist with routine inspections to monitor the storage and handling of stock, ensuring that storage practices mitigate risks such as spoilage, damage, or shrinkage.
    • Assist with identifying and proactively addressing risks associated with inventory storage, including issues related to product expiration, handling, and temperature control. 

Qualifications & Experience

  • Education: Bachelor’s degree in Supply Chain Management, Logistics, or Accounting  
  • Experience: Minimum of 3-5 years of progressive inventory and warehouse management experience
  • Technical Skills: Proficient in financial software and ERP systems. Advanced skills in Excel
  • Analytical Skills: Strong analytical and problem-solving skills with a strategic mindset.
  • Communication Skills: Excellent communication skills with a focus on operational accuracy and compliance.
