The Quotations / Tenders Clerk is responsible for ensuring that all requests for Quotations assigned are completed and/or responded to accurately and in a timely manner. The Clerk also supports the Tenders Coordinator with preparations and completion of Tenders as assigned.

Key Responsibilities and Duties:

  • Complete all RFQs assigned within established timelines or as required by requester
  • Ensure updated prices and / or special prices as advised by authorized personnel are used for Quotations
  • Ensure that the information presented is accurate and the quality (appearance, descriptions, attachments, explanations etc) of the Quotation is acceptable to customers.
  • Fax, e-mail or mail all authorized quotations.
  • Assist customer service with copies of quotations and supporting documents to attach to all purchase orders.
  • Correspond with suppliers for prices and additional information as needed
  • Work closely with the Quotations Supervisor, Sales Representatives, and other AAL Team members to obtain /provide relevant information to build the quotations within the desired timeframe and format.
  • Maintain a log / record of all incoming RFQs and outgoing Quotations
  • Ensure all Quotations are filed in both “soft” and “hard” formats to allow for easy retrieval and reference as needed
  • Provide timely reports as needed
  • Assist with Tenders and Project related activities
  • Any other relevant duties as assigned to support AAL business.

 

 

 

Requirements:

  • Five (5) O’Levels including Mathematics and English Language
  • Experience in a similar field (an asset)
  • Computer Literate (must be able to use Word and Excel)
  • Typing Capabilities
  • Good Verbal and Written Communication Skills for communicating with other staff member, customers and suppliers
  • Knowledge of Medical Equipment/Supplies (an asset)
  • Training in Office Procedures (an asset)
  • Ability to Multi-Task in a fast-paced environment
  • Efficient and must be able to meet deadlines
  • Must be able to communicate professionally with other staff members, customers and suppliers
