The Temporary Admin Assistant – Risk & Safety assists in coordinating security operations, managing incident reporting, and supporting safety systems. The role ensures smooth communication with teams and service providers while maintaining accurate, up-to-date records.

 Summary

 The Temporary Administrator Risk & Safety plays a key role in supporting the company's physical security and incident management framework. This position is responsible for liaising with internal departments, security service providers, and insurance brokers to ensure efficient security operations, proper incident reporting, and effective follow-up. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple tasks in a fast-paced environment.

 Key Responsibilities include but are not limited to:

  • Act as the day-to-day liaison with internal departments and external security service providers for the scheduling and booking of security guards.
  • Collaborate with insurance brokers on incident-related matters and ensure the accurate and timely submission of insurance liability claim forms.
  • Maintain and track all incident reports, ensuring the integrity of the company's incident log.
  • Organize, monitor, and respond to results from bi-monthly panic button functionality tests.
  • Work closely with electronic security service providers to:
  • Assign access/security codes to staff members as required.
  • Report system malfunctions and coordinate technician response and resolution.

This job is performed well when:

  • Coordinate Security Operations: Ensure 100% scheduling of security guards at least 48 hours in advance with minimal errors; maintain effective liaison with electronic security providers to assign staff codes within 1 business day and report malfunctions with 90% of technician follow-ups scheduled within 24 hours.
  • Manage Incident Reporting: Log 100% of incident reports within 1 business day, maintain an accurate incident log with zero discrepancies, and submit insurance claim forms within 3 business days of incidents with at least 95% broker response compliance.
  • Oversee Safety Testing: Conduct monthly panic button tests with 100% completion and initiate follow-up actions within 24 hours for any faults.
  • Support Departmental Objectives: Complete HOD-assigned tasks by deadline with 85% or more satisfaction rating, demonstrating flexibility and reliability in executing duties

Qualifications:

  • Diploma or Associate Degree in Business Administration, Security Management, or a related field (preferred).
  • Familiarity with security systems and reporting protocols.
  • Minimum of 1 years of experience in security coordination, facilities, or administrative role.
  • Previous experience in liaison roles with service providers is an asset.
