Overview of Role:

The Contact Centre Admin team provide administrative support to both contact centre agents and customers through various channels.

The successful candidate will be responsible to help the Telesales team in the daily tasks. They will support the team in the reporting; administrative tasks; calendar management, etc… They will act as the point of contact for all Telesales rep to support all price request, quotation, orders and product enquiries, providing administrative support and managing their queries. Our ideal candidate also has working knowledge of office equipment and office management tools.

 

Responsibilities.

  • Check voice mail /email for company mail boxes and do relevant follow up actions (not limited to
  • Follow up with/complete orders (where relevant) when a customer facing employee is no longer employed with NPJ or when said individual is out on extended leave (VTO, PTO Maternity, Lack of work etc..)
  • Process calls (incoming/outgoing) contacts (email/phone calls) for other operational departments
  • Entering orders as needed (based on business/volume need)
  • Being able to create and manage tracking of multiple spreadsheets (using Microsoft Excel)
  • Being able to draft relevant documents and communication (using Microsoft Word & Outlook)
  • Being able to edit/cancel orders using Order processing tools (ATG & Oracle)
  • Add requests to the production request log
  • Must be able to work overtime to meet business needs if/when required
  • Good attendance at designated work facility is required
  • Assist in the preparation of regularly scheduled reports
    • Provide appropriate solutions and alternatives with the time limited and follow up to ensure resolution.
    • Follow the company’s communication procedure, guidelines and policies
    • Ad hoc projects and duties as requested by management.
  • Provide support to the sales team to give quotation and others requirement to closes sales order.
  • Effectively managing Admin enquiries in a considerate and timely manner:
    • Pricing
    • Order management
    • Any other operations related

Required skills and experience.

  • Have the ability to maintain professionalism under pressure
  • A minimum of 12 months experience in an admin role, in a sales/Credit Collections/Contact center environment.
  • The desire to be successful exceed targets and integrate into a team-based organization
  • Advanced MS office (Excel / Power Point /Word)
  • Be fluent in the English Language with excellent communication skill
  • Be able to think outside of the box and accept other duties related to the job function.
    • Strong administrative and organizational skills with a proven ability to work on own initiative
    • Must be organized, detail oriented, possesses a high degree of accuracy and works well under pressure.
    • Demonstrated ability to work effectively in a diverse team environment
    • Must exercise the highest level of confidentiality and integrity
    • Analytical and logical thinking
    • Ability to deal with repetitive and similar tasks
    • Ability to work under strict deadlines
    • Excellent knowledge of printing processes and promotional product
    • Understanding of the NPL product and order process flow in oracle
    • Experienced user of matrix order management
    • Identify and solve issue related to supply chain (stock, production, shipping)

QUALIFICATIONS:  To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The individual will be measured and evaluated weekly on the following criteria: sales revenue, quality, productivity, accuracy and backlog. One must contribute to building a positive team spirit by supporting all efforts to be successful. Good attendance will be required.
