The JESS HR University Talent Acquisition resources are responsible for performing various tasks in accordance with standard operating procedures provided by the Clients’ HR University Talent Acquisition team.

OVERVIEW:

KPMG Jamaica has a delivery center named “Jamaica Extended Support Services (JESS)” operating from Kingston, which is contracted to provide back office support to its member firm KPMG United States (“the Client”).  The Clients’ University Talent Acquisition function is expanding operations at JESS to support the HR University Talent Acquisition process area.  Team members within the delivery center work with Client’s stakeholders under a team extension model to support Client’s back office operations.

 

The Clients’ HR University Talent Acquisition process area performs tasks related to attracting and hiring talent from US college campuses.

 

JOB SUMMARY:

The JESS HR University Talent Acquisition resources are responsible for performing various tasks in accordance with standard operating procedures provided by the Clients’ HR University Talent Acquisition team including, but not limited to supporting the candidate interview scheduling process, perform outreach/communications to candidates, preparing and delivering reporting, analytics, and quality assurance.

The JESS Assistant Officer reports primarily to the JESS HR University Talent Acquisition Assistant Manager but will also take direction from other University Talent Acquisition Client team members who are accountable for supported work.

 

JOB RESPONSIBILITIES

Service Delivery

  • Support logistics for the university interview process, including scheduling interviews and making necessary updates in the Applicant Tracking System (Avature)
  • Support virtual and non-virtual event logistics, including venue research, invitations, registration sites, travel assistance, and tracking, creation of nametag and other collateral, event follow-up, candidate expense reimbursement, and administrative support of our virtual event platform (Brazen).
  • Assist with posting advertisements for open positions through career centers, including supporting national campaigns for hard-to-fill positions through Handshake and Symplicit.  
  • Provide support for the Avature CRM for event planning and upon request.
  • Correspond directly with candidates and interns to confirm start date exceptions and changes, following protocol defined by University Talent Acquisition functional leaders.  Research and order recruiting collateral
  • Create and update reports in MS Excel regularly
  • Make travel arrangements and perform other administrative tasks as needed
  • Exercise independent judgment in creating and selecting ways to complete work assignments
  • Analyze and address issues by evaluating different alternatives within a wide variety of established procedures; decisions are subject to review by higher levels of management both onshore and offshore
  • Works with other departments regarding processes and procedures
  • Interacts with stakeholders as necessary
  • Communicates with Client’s stakeholders onshore and offshore regarding policies and procedures
  • Implement policy & procedural changes as instructed by onshore and offshore management
  • Participate in continuous improvements initiatives by assisting with the creation of process improvement strategies.

 

EDUCATION/EXPERIENCE

  • Associate degree or eight CAPE units
  • Minimum six months of customer service focused experience
  • Ability to support team lead regarding processes and procedures
  • Previous experience supporting a remote/US customer a plus
  • Previous scheduling/reservation experience a plus

 

SKILLS

  • Experience juggling multiple priorities while taking a proactive approach and maintaining a strong attention to detail.
  • Demonstrated ability to work independently in a fast-paced environment
  • Capable of being entrusted with confidential information
  • Support the Talent Acquisition Support Team Leader to impact team morale, culture, and participation 
  • Ability to communicate effectively both orally and written
  • Ability to collaborate with other team members and Client’s
  • Ability to be flexible with job duties and scope of work
  • Ability to identify improvement opportunities and actively engage in implementing improvements
  • Ability to cultivate an environment focused on customer satisfaction
  • Ability to work effectively within a team environment

 

SPECIAL CONDITIONS

  • Our team is using a hybrid work model, allowing flexibility between working from home in Jamaica and being in the office. Expected to spend a minimum of five days each month in the office, though this number may increase depending on business needs
  • Expected to work in a fast pace team environment
  • Will be working primarily in a paperless environment and expected to be using information systems for the entire workday to access data or perform activities
  • May be required to work extended hours periodically or on public holidays
  • Ability to work alternate schedules ending 8 pm ET
